The Position:



Reporting to the Director, Partnerships and Revenue, the Senior Coordinator, Rentals and Events will oversee internal and external rentals and events. The Senior Coordinator will support Abilities Centre's revenue goals through the management of facility rentals, events, outreach, and marketing throughout the community.



What You'll Do:



Event Management You will build upon the professional event management reputation held by Abilities Centre to coordinate all marquee organizational events including but not limited to: Abilities Centre Golf Fore Everyone Tournament; Festival of Trees; National Accessibility Week and Accessibility Awards; and more. Working cross-departmentally, major Abilities Centre events will flourish under your coordination from conceptualization to final reporting: Conceptualization - you will create event plans, schematics, and timelines, keeping accessibility and inclusion at the forefront, and building upon past years' work and previous feedback for improvement Event committee - you will coordinate event committee meetings with department leads to support the planning and execution of key event functions, such as volunteer recruitment, marketing and communication strategy, facility usage planning, etc. Administration - you will ensure all documentation related to the event (i.e., invoices, vendor agreements) are completed accurately and in alignment with financial purchasing and reimbursement policies and organizational signing authority procedures Execution - you will be the main point of contact on event day for committee members, vendors, and key stakeholders Follow up - you will conduct post-event meetings and surveys, collecting feedback to improve events year over year Reporting - you will ensure any post-event reports are completed and delivered to the necessary stakeholder Rentals Coordination You will manage the external Abilities Centre's facility rentals process, and ensure clients adhere to rental policies and procedures; where required you will make recommendations to improve the external facilities rentals process. You will record and maintain accurate administrative and financial records for each rental, such as contracts and invoices. You will liaise with clients and the facilities department to organize and complete space requirements and setup details for each rental. You will steward rental clients for the purpose of fostering long-term relationships and engagement with Abilities Centre. You will identify new and innovative ways to increase external rental opportunities that align with the Centre's mission and vision. Support. You will support front-line staff in promoting rentals and events to members and guests. You will support the Director, Partnerships and Revenue in achieving monthly targets for facilities rentals and annual targets for events and sponsorship. You will work with Marketing and Communications to ensure members and patrons of AC are kept up to date on facility usage schedule and notified of any changes promptly, as well as on initiatives and outreach strategies to increase community awareness and engagement with facility rentals and events. You will work with Research in creating and implementing rental evaluations to gather feedback and determine areas of improvement. Culture. What You'll Bring:



Education and Experience. You have a post-secondary degree or diploma in Business Administration, Hospitality, Event Management, or related field. You have 2+ years' relevant experience, including experience in managing successful events; not-for-profit or charitable experience is an asset. You have experience and sensitivity in dealing with clients of different cultural and racial backgrounds including visible and non-visible dimensions of diversity. You are proficient in Microsoft 365 and have knowledge of ACTIVENet or similar recreation management software. Communication and Relationship Building. You have a passion for planning and executing exceptional events, and a strong understanding of the landscape and how events meet organizational objectives such as revenue generation, fundraising, and organizational reputation. You have good conflict resolution skills and are dedicated to customer service that exceeds expectations. You can work collaboratively with multi-disciplinary teams and can achieve results through adaptability and creative problem-solving. You are an effective team player with a positive attitude whose interactions demonstrate accountability, authenticity, and collaboration. You have exceptional oral and written communication skills. Organization. You have superior administrative skills demonstrating thoroughness and attention to detail. You work well under pressure and can manage multiple demands and tight timelines through effective planning, organizing and time management skills. You are flexible, adaptive to change, and able to handle shifting priorities with maturity and foresight to cope with input and changes with short notice at times. You are self-motivated, and results-oriented; you demonstrate initiative and contribute to a work environment that values and encourages innovation. Administrative Requirements. It is required that you have a current, clear vulnerable sector check. It is required that you have a current, valid First Aid and CPR 'C' / AED. You are flexible regarding work schedule, including days, evenings, and weekends. You have access to reliable transportation.
