We are looking for a Senior Coordinator to join our vibrant and dynamic Marketing and Communications team. Reporting to the Manager, Marketing and Communications, the Senior Coordinator will be an essential part of the team, supporting our many events, working with our talent, and keeping up to date with Canadian media industry. This role will also be responsible for supporting our entire Marketing team tracking budgets and invoicing as well as managing the operations of our webstore.
Responsibilities:
  • Support the logistics of all Shaftesbury activations and events, including booking travel and accommodations, coordinating vendors, booking merchandise sales, printing and signage, etc.
  • Assist the Communications team with all talent relations across each series. This includes interviews (radio, print, TV online) and events that involve any Shaftesbury executives, producers, actors, directors and writers
  • Coordinate the day-to-day administration of the Marketing team, including tracking budgets, schedules, invoicing and cost reporting.
  • Build and manage Canadian and international media lists, including niche lists for various projects. This will also involve tracking media on a project-by-project basis and sharing with distributors, broadcasters/streamers and other stakeholders.
  • Organize logistics with the Communications team through production to fully deliver contractual assets (unit photography, video files, press kits, caption sheets) to broadcast/streaming partners in a timely manner
  • Work with the Communications team on all award submissions, including drafting any entry written requirements, photography, video, tracking submission spending and keeping an updated calendar of upcoming award deadlines
  • Manage the operations of Shaftesbury\xe2\x80\x99s webstores, including customer service, order fulfilment via Shopify and working with an outside agency for new product development.
  • Support Shaftesbury\xe2\x80\x99s corporate communications efforts (internally and externally) by tracking key upcoming dates and creating a proper work-back schedule. This will involve assisting in drafting press releases, media advisories, notes to staff and copy for social media posts.
  • Support the generation of marketing-related reporting and applications for funding bodies and stakeholders.

Requirements:
  • Minimum 2 - 4 years of experience in a similar coordinator/senior coordinator role
  • University or college degree in a marketing and communications related field
  • Experience working in the entertainment media industry (preferred)
  • Experience managing and executing media events, supporting many internal and external stakeholders
  • Highly developed verbal and written communication skills with a demonstrated ability to present information in an organized, logical, and effective manner
  • Strong attention to detail
  • Ability to continually prioritize and multi-task in a sometimes unpredictable and fast-moving environment
  • Ability to collaborate, with strong social and relationship-building skills
  • Ability to think analytically and strategically.
  • Diplomatic and discreet, able to work well with all internal and external stakeholders across various projects
  • Proficiency with Microsoft Word, Excel and PowerPoint
