We're looking for a personable and professional Corporate Services Coordinator to support our growing


Montreal and Quebec City teams. The coordinator is responsible for creating a positive first impression


and superior customer experience when greeting visitors to the office and communicating with


customers over the telephone. In this role, you will provide timely and proficient office administrative


support to numerous departments, functional groups, and our management team. The ideal candidate


will bring strong administrative skills, attention to detail, and a collaborative mindset.

Key Responsibilities



Create a positive and welcoming first impression for visitors and new employees. Greet guests, deliver excellent customer service (in person and by phone), and direct calls as needed. Maintain strong communication with the Corporate Services team across Canada. Support employee onboarding and offboarding, including coordinating new hire setup and contributing ideas to enhance the employee experience and strengthen corporate culture. Manage the operational needs of both the Montreal and Quebec City office locations. Oversee office equipment, kitchen areas, and vendor relationships: obtain quotes, coordinate service calls, monitor and restock supplies, and address cleaning and maintenance needs. Prepare meeting rooms for client visits and internal events, coordinate room bookings, and assist with technology setup (conference calls, Google Live Streams, HDMI connections, etc.). Play an active role in planning and coordinating industry and corporate networking events, including hotel bookings, room reservations, catering, invitations, and on-site logistics. Participate in internal committees such as the Joint Health and Safety Committee and the Social Committee to support company programs and initiatives. Assist with document preparation, data entry, and file management. Manage courier services, organize mail distribution, and support document delivery. Provide general administrative support to the Chief of Staff in support of the CEO.

Who you are



Bilingual in French and English, spoken and written 4+ years of experience in office administration, hospitality, or customer service in a fast-paced environment Embody Nesto's values: transparency, empathy, urgency, honesty, ambition, ownership, and enjoyment of collaboration Strong attention to detail and exceptional verbal and written communication skills Creative problem-solver who works autonomously Excellent interpersonal skills, confidentiality, and sound judgment Skilled at prioritizing multiple tasks, delivering high-quality results, and going the extra mile Proactive, takes initiative, and thrives independently and in a team environment Genuine interest in event and meeting coordination, with a passion for creating seamless experiences Tech-savvy, proficient in Microsoft Office Suite (Word, Excel, PowerPoint) Eager to learn, grow, and take on new responsibilities Holds or is completing a degree, diploma, or certificate in office administration (strong asset)
