Key Responsibilities:
Manage the flow of client information and oversee the workflow of income tax return preparation to ensure timely filing start to end, particularly during the peak tax season in March and April.
Create and maintain office-wide information, primarily client databases, reports and invoices; ensure timely follow-ups on accounts receivable.
Act as the primary contact for exceptional client service, handling client inquiries and matters promptly.
Address and resolve office-wide issues or direct them to the appropriate management for resolution.
Interact with key internal and external stakeholders, including executives and vendors.
Oversee the office calendar and schedule appointments with potential and existing clients.
Manage the hiring process, including drafting and posting job openings, organizing applicant information, and conducting first-round interviews.
Serve as the first point of contact for all company software-related inquiries, providing support to team members and coordinating with vendors or IT as needed.
Create promotional materials including banners, posters, and holiday cards to support branding and client engagement initiatives.
Manage the company's social media accounts (LinkedIn, Facebook) and website content to ensure consistent branding.
Conduct performance reviews for junior staff, providing constructive feedback and tracking key development checkpoints to support their growth and accountability.
Desired Skills & Experience:
3-5 years experience in operations and managing tax return preparation procedures in public accounting practice.
Proven ability to adapt efficiently to dynamic environments.
Maintain high productivity under time constraints and pressure.
Work independently and collaboratively across all organizational levels.
Exceptional communication skills (verbal & written) and strong problem-solving abilities.
Attention to detail and accuracy in data entry and analysis.
Excellent time management skills, experience in meeting deadlines.
Proficiency in Microsoft Office applications (Outlook, Excel, Word & PowerPoint).
Ability to manage information across various platforms and implement new systems as needed.
Capacity to learn new technologies and information systems quickly.
Requirements:
Eligible to work in Canada.
Experience with public accounting operations and managing tax return workflows.
Knowledge of US CCH Axcess, Canadian TaxPrep tax software, BigTime and ShareFile information management system is highly advantageous.
Schedule:
Hours: 7.5-hour shifts, Monday to Friday.
Peak Season: Overtime in March and April (minimum 10 hours per day for 6 days per week).
