Reporting to the Team Lead, MD Signature, as a Senior Client Service Associate, MD Signature, you will be responsible for providing administrative and operational support to assist Financial Consultants and Portfolio Managers.

  • You will be accountable for the preparation and processing of client documentation and inputting transaction requests and opportunities as directed by Advisors and Portfolio managers.
  • You will be responsible for maintaining the currency and accuracy of the client contact database, ensuring all applicable information and notes are recorded correctly and annual review client call requirements are brought to the attention of the Financial Consultants.
  • You will partner with other MD lines of business to arrange mutual client contact strategies.
  • You will play an important role in booking on-site and virtual client meetings, as well as coordinating meetings between Signature Advisors, Signature Planners and local specialists, preparing files, sending meeting reminders, responding to time-sensitive requests from Advisors during client meetings, preparing correspondence and ensuring a quick and efficient response to all inquiries from current and prospective clients regarding MD products and services.
  • You will maintain a follow-up system (MX360) for inquiries and issues, ensuring expeditious resolution based on MD specified service standards.
  • You will process trade requests, ensuring all regulatory requirements are adhered to.
  • You\'ll support and participate in the research and resolution of a variety of complex client concerns as well as contributing to special projects, as required.
  • You will ensure that monthly compliance-related tasks such as following up on non-compliant paperwork, pending documentation logs, security and cheque logs is completed.
  • You will lead the tracking and management of Investment Policy Statements (IPS) and Know Your Client (KYC) documentation.
  • You will become conversant with financial planning software, enabling you to assist in creating financial plans for Signature clients.
  • You will liaise with third parties (Accountants, Lawyers) to obtain client data for financial plans.

The Must Haves:
  • College diploma in business, commerce or equivalent
  • Administrative experience in the financial services industry
  • IIROC licensed or the willingness to become licensed within 12 months of hire through the completion of the Canadian Securities Course (CSC) and the Conduct and Practices Handbook for Securities Industry Professionals (CPH)
  • Demonstrated knowledge of the financial services industry and rules regarding estates, trusts, RESPs, RRSPs/RRIFs, TFSAs, mutual funds and other investment products
  • Proficiency with Microsoft Office Suite
  • Working knowledge of CRM2
  • Completion of the Life License Qualification Program (LLQP) is an asset
