What you will do
The Senior Administrative Coordinator provides administrative support to senior management. The Senior Administrative Coordinator undertakes various administrative tasks to support the senior management team's daily activities and long-term objectives. They manage correspondence, schedule meetings, arrange travel, and appropriately handle inquiries and requests. This role is pivotal in ensuring that senior management's time is optimized and that the executive office runs smoothly.
A Day in the Life
The Senior Administrative Coordinator is responsible for providing corporate-level support services to the senior management at Det'on Cho Management LP.
  • Manage the management calendar, schedule meetings and appointments, and provide reminders.
  • Booking management travel arrangements.
  • Handle incoming requests and queries appropriately.
  • Develop and maintain an efficient documentation and filing system.
  • Produce reports, presentations, and briefs as needed.
  • Provide complete personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required.
  • Performs clerical and administrative tasks, including drafting letters, memos, processing invoices, reports, and other documents for senior staff.
  • Schedules and attends meetings on behalf of the senior management, taking notes and recording minutes.
  • Taking meeting minutes and tracking action items.
  • Coordinate the preparation and distribution of meeting materials for the weekly meeting.
  • Provides support to the board of directors, prepare agendas and binders for board meetings and schedule Board meetings.
  • Inform Board members of meeting dates, locations, and any changes to these details.
  • Arrange the logistics for special meetings and off-site retreats.
  • Any other duties as assigned.
What You Bring
  • Post-secondary training in business administration or an equivalent degree or diploma and two (2) to three (3) years of related experience.
  • Excellent organizational, interpersonal and communication skills and willingness to work as a member of a team.
  • Experience in handling confidential and sensitive information, which the incumbent must keep confidential, is a critical requirement of this role.
  • Familiarity with the Board of Directors and Operational policies and procedures.
  • Ability to undertake tasks and responsibilities with a minimum of supervision.
  • Professional, positive, and constructive behaviours are expected of the employee in this position when dealing with coworkers, clients, the Board, and Committees.
  • Familiarity with the Yellowknives Dene language, culture, and way of life is an asset.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and, at times, challenging environment.
  • Good research, writing, and problem-solving skills and extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software and able to learn new or updated software.
