Why is this role important?

This position provides support to the Vice President to oversee all aspects of office administration.



The Senior Administrative Assistant provides advanced support to the Vice President by prioritizing activities and handles the flow of information to and from the office. This includes ensuring the Vice President is aware of priority issues and sensitive inquiries. He/she independently handles a wide variety of issues, including determining who should respond to specific priority items. He/she responds quickly to changing priorities and uses sound judgement in assessing the urgency and importance of various issues.




What you'll do

1. Provides advanced administrative support and organizes the day-to-day activities of the Vice President. This includes managing the Vice President's schedule, screening incoming information/requests, processing correspondence from draft to final script, collecting and preparing information for the Vice President's use in meetings, preparing minutes, travel arrangements, etc.




2. Provides administrative support to other staff within the division (as directed by the Vice President and as required) such as ordering office supplies, arranging external meeting rooms, catering, making travel and accommodation arrangements for internal and external participants at meetings and events, preparing travel claims, processing external/interoffice mail and courier deliveries etc.



3. Processes contracts, contractor payments, prepares invoices for payment, AMEX and petty cash disbursement/reconciliation, prepare/process business and travel expenses, , and initiating/ monitoring transfer payments.



4. Deals with internal and external stakeholders at all levels and acts as the first point of contact for inquiries to the office. Composes replies to general inquiries of a non-technical nature, acknowledgements and interim replies. Provides copy editing on a variety of correspondence, reports, etc.



5. Allocates work to temporary staff as required, including co-op students and provides orientation/training to staff on various computer functions.



6. Interprets administrative policy/procedure for the organization and other issues as required.



7. Organizes and maintains the filing system for the division including archiving of documents in accordance with Records Management Guidelines.



8. Liaise with suppliers and conduct comparative cost analysis in use of various office equipment/furniture/kitchen appliances and provide recommendation to management. Set-up and manage various accounts with vendors providing service to the division (e.g., hotels and other venues used to host bi-annual regional conferences).




What you'll bring to the table

- College diploma, preferably in business administration or a related field or equivalent education/experience.


- Minimum 3 years related administrative experience with senior level personnel. Ability to manage numerous priorities and urgent requirements simultaneously.


- High degree of initiative, judgment, discretion and tact.


- Strong communication and effective interpersonal skills. Ability to work cooperatively with colleagues and senior management who are located in various locations and time zones.


- Proven organization/time management skills. Must be able to multi-task to function well in a fast paced, demanding environment.


- Working knowledge of the organization's structure, current initiatives and protocol.


- Excellent planning and negotiating skills.


- Ability to meet occasional travel requirements and a flexible work schedule (e.g., periodically requires overtime on weekends and evenings during peak work periods).


- Strong working knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint) email and


- Fluency in both official languages.

Pourquoi ce role est-il important ?

L'adjoint administratif principal apporte son soutien au vice-president dans la supervision de tous les aspects de l'administration du bureau. Il determine entre autres l'ordre de priorite des activites et assure le transfert d'information a destination et en provenance du bureau. De plus, il est appele a s'assurer que le vice-president est au fait des problemes urgents et des questions delicates. L'adjoint administratif principal traite lui-meme une vaste gamme de questions, comme la designation d'un responsable pour des priorites precises. Il s'adapte rapidement aux priorites changeantes et fait preuve de jugement au moment d'evaluer l'urgence et l'importance de diverses questions.




Quelles seront vos responsabilites ?

1. Assurer un soutien administratif de haut niveau et organiser les activites quotidiennes du vice-president. Le titulaire est appele, entre autres, a gerer l'horaire du vice-president, a trier l'information et les demandes recues, a traiter la correspondance de l'ebauche jusqu'a la version definitive, a recueillir et preparer le materiel dont se servira le vice-president lors des reunions, a rediger les proces-verbaux et a organiser les deplacements.




2. Assurer un soutien administratif pour d'autres membres du personnel du Secteur (a la demande du vice-president et au besoin), notamment commander les fournitures de bureau, preparer les salles de reunion externes, reserver les services de traiteurs, organiser les deplacements et l'hebergement des participants internes et externes pour les reunions et les evenements, preparer les demandes de remboursement des frais de deplacement, ainsi que traiter le courrier externe et interne et les livraisons par messagerie.



3. Traiter les contrats et les paiements aux consultants, preparer les factures, gerer le decaissement et le rapprochement de comptes pour les cartes AMEX et le fond de caisse, preparer et traiter les frais professionnels et de deplacement, et initier et surveiller les virements bancaires.



4. Traiter avec les intervenants internes et externes de tous les niveaux et agir a titre de premier contact pour les demandes adressees au bureau. Rediger les reponses aux demandes generales non techniques, les accuses de reception et les reponses provisoires. Assurer la revision de divers types de correspondance, de rapports, etc.



5. Attribuer des taches au personnel temporaire selon les besoins, y compris aux etudiants stagiaires, et assurer l'orientation et la formation du personnel sur diverses fonctions informatiques.



6. Interpreter les politiques et procedures administratives de l'organisme et traiter d'autres questions, le cas echeant.



7. Organiser et assurer le maintien des systemes de classement pour le Secteur, y compris l'archivage des documents conformement aux lignes directrices en matiere de gestion de dossiers.



8. Assurer la liaison avec les fournisseurs et realiser des analyses comparatives des couts lies a l'utilisation de divers equipements de bureau, de mobilier et d'appareils electromenagers, et formuler des recommandations a la haute direction. Creer et gerer divers comptes aupres des fournisseurs qui offrent des services au Secteur (p. ex. les hotels et autres lieux utilises pour les conferences regionales semestrielles).




Que mettriez-vous a profit ?


- Diplome d'etudes collegiales, de preference en administration des affaires ou dans un domaine connexe, ou combinaison equivalente de formation et d'experience.


- Au moins 3 ans d'experience administrative pertinente aupres de cadres superieurs. Aptitudes a gerer une multitude de priorites et a repondre aux exigences urgentes.


- Beaucoup d'initiative, de discernement, de discretion et de tact.


- Entregent et excellentes aptitudes pour la communication. Capacite a collaborer efficacement avec des collegues et des cadres superieurs situes dans divers endroits et fuseaux horaires.


- Aptitudes manifestes en matiere d'organisation et de gestion du temps, et capacite a effectuer plusieurs taches simultanement dans un environnement dynamique et exigeant.


- Connaissance pratique de la structure de l'organisme, et des initiatives et protocoles en cours.


- Excellentes aptitudes pour la planification et la negociation.


- Capacite a repondre aux exigences occasionnelles de deplacement et a travailler selon un horaire flexible (p. ex. certains soirs ou week-ends en periodes de travail intense).


- Bonne connaissance pratique des applications de Microsoft Office (Word, Excel et PowerPoint) et des messageries electroniques.


- Maitrise de l'anglais essentielle; maitrise du francais, un atout.
