Job Description

Our client, a leading financial firm, is seeking a detail-oriented and proactive Senior Administrative Assistant to join their team in Vancouver. This is an exciting opportunity to play a vital role in a dynamic, fast-paced environment handing trade settlements, preparing reports, and quality assurance. The Senior Administrative Assistant is responsible for supporting the management of investment portfolios.
Senior Administrative Assistant responsibilities:

  • Oversee all aspects of account management, including setup, transfers, and closures, to ensure a seamless client experience.
  • Prepare comprehensive monthly and quarterly reports, presentations, and year-end tax packages.
  • Keep client records up to date in the CRM system, tracking key interactions and essential documents.
  • Handle financial transactions such as cheque processing, EFTs, and withdrawal requests with accuracy.
  • Deliver timely, precise information to clients, tailored to their specific needs.
  • Work closely with internal teams to enhance efficiency and coordination.
  • Assist in planning and executing client events while serving as a welcoming and professional point of contact.
  • Support office operations by managing supplies and handling various administrative tasks as needed.
The successful candidate has:
  • Bachelor's degree in Finance, Business, Economics or related field.
  • 3-5 years of experience in portfolio administration, investment management, or financial services.
  • Interest and understanding in financial markets, investment products, and asset management
  • Experience and proficiency in Excel and other financial software and tools.
  • Strong analytical, problem-solving, and organizational abilities.
  • Proven ability to thrive in high-pressure environments while juggling multiple priorities.
  • Exceptional communication and interpersonal skills.
  • Preferred Canadian Securities Course (CSC) or Chartered Investment Manager (CIM) designation (or working towards certification).
  • CFA Level 1 is a plus.
Compensation and Benefits:
  • Competitive salary range of $60,000 - $70,000 (negotiable based on experience).
