What will you be doing!

  • Assisting the communications team by recording meeting minutes, properly filing documentation related to engagement with public stakeholder and Indigenous communities and organizations.
  • Supporting the Indigenous Relations Coordinator with the tracking, disposition and follow-up on commitments to Indigenous communities and organizations generated through engagement interactions, document review and formal interventions.
  • Supporting the communications team by monitoring public email inboxes, phone calls, and triaging public inquiries internally.
  • Coordinating payments related to Indigenous engagement/contribution agreements.
  • Supporting the planning of internal and external communications events; booking venues, coordinating invites, meeting rooms, catering, etc.
  • Participating in internal/external events engaging with stakeholder and public audiences and providing information the projects.
  • Supporting the Manager with internal events, such as workshops, teambuilding activities, team meetings, etc.
  • Supporting HR processes for the team, including the administrative aspects of recruitment and the performance management cycle.
  • Interacting regularly with directors, managers and staff, CNL Corporate Communications and broader Project Communications staff to provide administrative support.
  • Advising on issues impacting ability to complete work; proposes and develops solutions.
  • Establishing strong working relationships with external contacts (such as suppliers).
  • Occasionally interacting with members of the public, providing professional customer service and support.
  • Interacting with representatives of Indigenous communities and organizations for ERM projects.

What we are looking for:
  • Education: High school diploma; additional post-secondary courses in Office Administration would be considered an asset.
  • Minimum 5 years\xe2\x80\x99 experience in an administrative assistant role, with experience working in a team environment with a focus on public and Indigenous interface, customer service and/or communications.
  • Security clearance eligibility required: Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom.
  • Experience preparing, formatting and distributing a wide range of documentation including reports, plans and correspondence.
  • Skilled at scheduling meetings, booking meeting rooms, preparing/distributing agendas, and taking/distributing meeting minutes/notes.
  • Ability to support events, presentations and tours through booking rooms/venues and/or transportation, ordering catering, assisting with set up and tear down.
  • Experience tracking invoices and payments, and preparing and submitting expense reports and cheques requisitions.
  • Tact, diplomacy, trust and discretion in handling of sensitive and confidential information, including information governed by municipal, provincial and federal privacy legislation.
  • Excellent time management skills and ability to meet deadlines.
  • Proficiency in Microsoft Office Suite.
  • Ability to manage various electronic calendars.
  • Excellent interpersonal, written and oral communication skills are essential, as well as a highly organized approach to working in support of a busy team.
  • Experience working in public/customer service is an asset.
  • This role is expected to keep abreast of changing requirements as they relate to proper document filing, formatting and handling, approved software and other relevant technology. This role identifies and adheres to CNL requirements related to administrative process and procedures, quality assurance standards and best practices. Exceptional organizational skills are needed to ensure various administrative and reporting requirements are fulfilled, and that multiple team members are supported on a consistent basis.

Location: CNL works with employees across our Canadian locations to enable a hybrid workforce where possible. Our Hybrid employees work with their manager to establish expectations for when they will be on site vs when they are working from home.
