Overview

Are you an experienced administrative professional with good communication and MS Office skills? We're seeking a secretary, Field Investigations to support the manager, Field Investigations, as well as department staff, in a variety of administrative tasks that keep the department organized and operating efficiently. If you enjoy providing exceptional administrative support and have great organizational skills, consider applying for this temporary opportunity of approximately one year.

What you'll do

As a secretary, Field Investigations you will:

  • Provide administrative support to the manager, Field Investigations and department staff
  • Prepare PowerPoint presentations for field investigators
  • Organize department meetings
  • Take confidential meeting minutes and transcribe witness statements
  • Arrange conference calls with field investigators across the province
  • Document interview summaries
  • Be a resource to department staff on the use of various systems and provide assistance and coaching when required
  • Create and maintain team sites and be the LAN administrator
  • Research CMS to obtain pertinent information in furthering the investigation files
  • Monitor CMS desk for new referrals to Field Investigations and open new investigations in XIM for assignment to the field investigators
  • Coordinate the subpoena/order process by reviewing for accuracy and timeliness, and forward to appropriate field investigator for action

We're looking for someone who can:
  • Provide outstanding customer service and take initiative to assist staff where necessary
  • Obtain and record information both in writing and orally
  • Plan, coordinate, and organize workload independently
  • Build collaborative relationships with the field investigations team and maintain a calm, professional demeanor under pressure
  • Proof-read, write, and edit using current standards and styles
Your experience and educational background
  • Completion of grade 12
  • Recent and related experience providing administrative support
  • Ability to type 60 wpm
  • Good office grammar and spelling
  • Working knowledge of MS Office (Word, Excel, PowerPoint)
