Under the authority of the Assistant City Clerk, the incumbent performs a variety of secretarial tasks to provide administrative support related to the legal field.
Work Schedule
35 hours per week
Responsibilities
Perform legal secretarial tasks: filing legal documents, conducting research, consulting judicial archives, etc.
Draft resolutions, minutes of City Council meetings, public notices, and other official documents.
Send certified copies of resolutions to the appropriate City departments.
Coordinate the publication of public notices in the media and on the City's website.
Manage the agenda, draft routine letters, reports, and legal documents.
Review and correct outgoing correspondence.
Transcribe dictations and type various legal and administrative texts.
Proofread and edit texts with attention to grammar, punctuation, and formatting.
Answer phone calls, greet visitors, and provide relevant information.
Monitor the progress of documents and deadlines.
Handle incoming and outgoing mail.
Organize meetings and send out invitations.
Attend meetings and draft minutes or summaries.
Collect and compile data from various sources.
Operate standard office equipment and appropriate software.
Guide and supervise employees assigned to similar or related tasks.
Arrange travel for the supervisor (transportation, accommodation, expense reports, etc.).
Perform any other related duties.
Required Qualifications
Professional studies diploma, pertinent program and sector relevant to the legal field.
Minimum of two (2) years in a similar position.
Proficiency in office software (Excel, Word, Office), dictaphone.
Bilingualism required (French and English, spoken and written).
Note
You may be required to take a written competency test in French and English.
