Key Responsibilities:
Administrative Support:
Manage and organize office correspondence, documents, and records.
Draft, format, and edit official communications, reports, and meeting notes.
Develop and write protocols and Standard Operating Procedures (SOPs) without assistance.
Scheduling & Coordination:
Create and manage staff schedules and appointment bookings.
Coordinate meetings and maintain calendars using Trello, Noterro and Google Workspace tools (Docs, Sheets, Calendar, etc.).
Office & Clinical Support:
Maintain a clean, organized, and disinfected office environment in compliance with health and safety standards.
Support daily clinical operations by ensuring proper documentation and adherence to protocols.
Communication:
Act as the first point of contact for clients, patients, and staff via phone, email, and in-person.
Provide clear and professional communication in both French and English.
Process & Workflow Management:
Assist in developing efficient office workflows.
Monitor and update task boards using Trello for project tracking.

Required Skills & Qualifications
Languages: Fluent in French and English (oral and written).
Technical Skills:
Proficient in Noterro and Google Workspace (Docs, Sheets, Drive, Calendar).
Experience with Trello or similar project management tools.
Experience:
Previous experience in a clinical or medical office environment is strongly preferred.
Knowledge of medical office protocols and procedures.
Other Skills:
Strong written communication skills (able to write SOPs and protocols independently).
Excellent organizational and time management abilities.
Ability to multitask and prioritize effectively.
Attention to detail and problem-solving mindset.
Comfortable with light cleaning and disinfecting duties.
