Job Summary



The Scheduling Coordinator plays a crucial role in healthcare settings by ensuring that healthcare providers are scheduled effectively to meet the needs of clients. This involves a variety of tasks and responsibilities: Understanding Staffing Requirements, Maintaining Provider Availability Information, Matching Providers to Shifts,

Communicating Schedules, Handling Schedule Changes and Reporting. This role requires strong organizational skills, excellent communication abilities, and a keen attention to detail. The Scheduling Coordinator must be able to balance the needs of clients with the availability of healthcare providers to ensure that all shifts are covered. They must also be able to adapt quickly to changes and handle scheduling issues efficiently and effectively.


Position



Full-time, temporary, 6 month contract x 1 position

Hours



37.5 hours per week. Hours of Operation for the Scheduling Department are 5am - 9pm. Must be available for a variety of shifts; days, evenings, nights, weekdays, and weekends.

Responsibilities



The Scheduling Coordinator performs any combination of the following duties under the supervision of the Scheduling Office Supervisor. The Scheduling Coordinator reports to the National Staffing Office Manager.

Scheduling healthcare providers/employees by matching the staffing requirements of Carecor's clients. Contact healthcare providers/employees to determine availability. Match available healthcare providers/employees to facility client requests. Provide excellent customer service - first contact by phone, in person and electronically for Clients. Manages requests in a timely manner, based on priority, Up-sells and offers service to Clients Update Scheduling Software. Record and document all requests, schedules, and communications into scheduling software program and on manual systems as required. Assist with payroll and invoicing issue investigations. Initiate Instant Pay requests for healthcare providers. Print daily reports as defined, forward and file as required. Promote Carecor's staffing services to facilities and health care providers. Participate in special projects and meetings as assigned by the Supervisor. Staffing Office Meets target goals related to staffing productivity indicators; (inbound/outbound calls fill rates, offering staff out. Other duties as required.

Qualifications



Grade 12 High school diploma or equivalent. Strong computer/technology skills; including employee databases, scheduling systems, other computer programs, and Microsoft systems (PowerPoint, Word, Excel, Outlook). Strong communication (written, verbal, non-verbal) skills. Conflict resolution skills. Strong teamwork skills, outgoing personality, and strong conflict resolution skills. Takes initiative. Ability to work independently.


Requirements



Must be able to read, write and speak fluent English. Must possess evidence showing the legal right to work in Canada and all licenses as required for employment in Nova Scotia, per the qualifications noted in the Education and Training section. Willing to undergo a Police Background Check and/or Vulnerable Sector Search as a condition of employment, with 'clear' results and renewed as required by Carecor policy. Must be fully vaccinated for COVID-19 (minimum 2 doses).
