Job Summary
We are seeking a proactive, organized, and communicative Scheduling Assistant to manage therapist and client schedules within our ABA practice. This remote role requires strong coordination skills, attention to detail, and comfort with frequent outgoing calls to ensure proper coverage and continuity of care.
Key Responsibilities
Create, manage, and maintain therapist and client schedules
Coordinate schedule changes, cancellations, and make-up sessions
Make outgoing calls to families and staff to confirm appointments, address scheduling needs, and resolve coverage gaps
Communicate scheduling updates and changes clearly and professionally
Monitor staff availability and ensure appropriate coverage
Accurately document scheduling activity and all communication in internal systems
Collaborate closely with administrative, clinical, and leadership teams
Qualifications
Previous scheduling, administrative, or customer service experience
Strong multitasking, organizational, and problem-solving skills
Excellent verbal and written communication abilities
Comfort with frequent phone communication and follow-up
Ability to work independently and meet deadlines
Healthcare or ABA experience preferred
Technical Requirements
Reliable high-speed internet connection
Two computer screens (dual-monitor setup required)
Proficiency with scheduling software and Microsoft/Google tools
Ability to work efficiently in a fast-paced remote environment
Job Types: Full-time, Part-time
Pay: From $18.00 per hour
