Overview



Reporting to the Install & Service Manager, the Scheduler manages the weekly schedules for templates and installations of fabricated surfaces such as kitchen countertops, bathroom vanities and fireplaces. Liaising with various departments and technicians, the Scheduler coordinates the logistics for installation and templating appointments, responds to schedule changes and troubleshoots issues related to installation that may arise. The successful candidate plays an integral role in the customer experience by providing them with timely and accurate information and ensuring the appointment is completed smoothly and on-time.

Responsibilities



Ensure sound scheduling decisions by reviewing and analyzing all relevant details of customer jobs (e.g. job size, job location, production schedule etc.) Review pictures of customer job sites and liaise with template technician and dealer to determine installation logistics (e.g. access points, stairs, elevators, boat access, entry ways etc.) and any elements of the job that should be communicated to the installation team. Review and analyze customer layouts and production CAD drawings to identify any relevant details for the installation technicians. Manage all scheduling entries and changes in the ERP system (i.e. INFOtrac) Communicate effectively with installation technicians prior to and during installations. Work with Install & Service Manager to review reasons for schedule variances, troubleshoot unexpected issues and changes and determine timely resolutions. Follow-up with applicable departments internally or with customers to gather outstanding information needed for installation. Liaise with Production Manager regularly regarding production timelines and changes to the installation schedule that could impact production. Group customer jobs according to logistics, location, production time, job size, customer needs and installation technician availability. Consider size of fabricated surfaces when grouping jobs to ensure installation truck is able to transport the load. Assign installation dates once customer job grouping is complete. Respond to customer enquiries, requests and changes related to installations and manage customer expectations professionally. Ensure accuracy by performing daily reviews and checks of all relevant details of scheduled customer jobs. Create daily schedule for each installation team with special notes, instructions and relevant details. Send timely communication to customers with installation dates, including reminders 2 or 3 days prior. Respond to real-time changes that impact the schedule or the technician teams. Ensure changes are effectively communicated internally to appropriate departments. Prepare all digital installation documentation for the installation and production teams. Schedule Service appointments for post-installation customer service calls (e.g. countertop surface chips). Liaise and coordinate with Install & Service Manager and Service Coordinator as necessary to ensure all relevant information regarding service calls is communicated to the installation technician. Actively think of ideas to improve scheduling process and provide suggestions to the Install & Service Manager.

Skills and Qualifications



Minimum 2 years of experience in a similar role (scheduling, logistical planning, analysis, coordinating with various departments, problem solving/troubleshooting etc.)

Excellent attention to detail

Strong organizational and multitasking skills

Good mathematical and analytical skills

Proven ability to work effectively in a team environment Excellent communication skills, both verbal and written Previous experience working with an ERP, an asset (e.g. Oracle, SAP etc.) Strong work ethic and self-motivated Able to handle changing priorities, use good judgment, troubleshoot, and problem solve Tech-savvy and confident working with Microsoft Office programs Able to work well under pressure Conduct all business activity in a professional manner Experience in the industry an asset (i.e. Kitchen & Bath, Surface Fabrication)
