About the Role



Working alongside our administrative team and under the supervision of the Manager of Administration, the Saturday Administrative Assistant provides a variety of clerical duties within a dynamic environment. An ideal candidate is ready to roll up their sleeves and dive into their work. As the liaison between clients and other team members (coaches, medical practitioners, psychologists, etc.), you ensure processes and services run smoothly and meet the standards of quality care, in a timely manner.

Please note, this role is not remote but rather will be in-person, working on site at the Clinic's Oakville location on Saturdays.

Responsibilities:

Greet clients and check them in Manage a high volume of emails and phone calls from current/potential clients and stakeholders Redirect calls and messages to appropriate staff members: internal messaging and/or following up with clients/staff Coordinate appointment bookings across multiple clinician calendars Assessment coordination: sending questionnaires, confirmation emails, appointment follow-up Support the Intake team in managing ad hoc new client inquiries, including scheduling calls and sending informational emails Process payments and create insurance receipts: deposits, assessment fees, missed appointments, coaching/psychotherapy sessions Follow-up with clients about a variety of topics, including outstanding invoices, pending referrals, incomplete documentation With consent, communicate with external stakeholders surrounding sensitive and confidential client information Value confidentiality and privacy when interacting with patients and patient information Ensure timely and accurate work pertaining to client accounts, email/phone communications, and billing
Required Skills:

Minimum undergraduate degree, or certificate in administration with additional workplace experience Minimum 1-3 years of administrative experience; previous experience working in a health care environment is strongly preferred Excellent organizational and time management skills Advanced communication skills (verbal and written) - polite, patient, and respectful interpersonal communication abilities Forward thinker with strong problem-solving abilities Passion for customer service and client care Conscientious and detail-oriented Can work efficiently both independently as well as collaboratively within a team Comfortable using multiple technology systems in tandem and capable of learning new technology platforms in a timely manner

Other Role Information:



Part time employment: Saturdays In-Person from 9:00am - 5:00pm, not inclusive of Statutory long weekends Location: 209 Oak Park Blvd. Start Date: October 18, 2025, with training taking place earlier in October Salary: Hourly at a rate of $20/hr.
