Job Description


Crystal Lodge is recruiting for a full-time, year-round Sales & Marketing Coordinator to join our Sales & Marketing team. This is a fantastic opportunity for someone who has previous reservations and revenue experience within a hospitality setting and looking to make the next step within their career.

The main focus of this role is to work closely with the Director of Sales & Marketing by supporting all aspects of the sales and marketing cycle. Your primary responsibilities will be to:

  • Assist the Director of Sales & Marketing to identify opportunities and implement marketing and advertising campaigns, strategies, plans, and objectives; researching, planning, and organizing promotional presentations, maintain updated promotional calendars in an effort to execute our Sales and Marketing plan.
  • Ensure daily workflow, schedules, and project deadlines are being met as defined by DOSM for both the Hotel.
  • To maintain, manage and monitor all of the hotel social media \xe2\x80\x98sites\xe2\x80\x99 including but not limited to; Proprietary website, Facebook, Instagram, and YouTube with support from the DOSM.
  • Develop compelling and tailored content for each advertising campaign, including taking photographs for the hotel\xe2\x80\x99s social media and marketing use.
  • Plan, create, and implement all e-mail marketing deployments promoting the hotel.
  • Prepare a monthly marketing report by collecting, analyzing, and summarizing sales data.
  • Improve branded website(s) SEO through the management and implementation of blog and newsletters
  • Work with 3rd parties to ensure online advertising dollars are being stretched to maximize ROI.
  • Negotiate supplier and advertising contracts with guidance from the Director of Sales & Marketing.
  • Proactive approach with media and public relations, including recruiting media and hosting media sites with the Director of Sales & Marketing.
  • Communicate promotional initiatives and campaigns to all internal managers.
  • Manage Festival and Event sponsorships to ensure the hotel is maximizing all opportunities to emulate the brand.
  • Actively patrol and ensure Brand Standards are in use by all colleagues in guest facing materials including but not limited to e-mail signatures and collateral.
  • Attend and contribute to weekly revenue management meetings. Ensure ad campaigns are working in conjunction with Revenue need periods.
  • Develop and maintain all marketing collateral and sales proposals for print, radio, social media, tv campaigns and in-house initiatives.
  • Schedule and Execute video and photo shoots, as necessary. Manage all image and video libraries.
  • Perform day to day group Sales activities of the hotel including client relations, marketing initiatives, prospecting, and sales reporting.
  • Support the Reservations team with inbound inquiries.
  • Support the Sales & Event Manager when needed with group process, including creating proposals, contracts, BEO\xe2\x80\x99s, inputting rooming lists, event servicing, contract signing and follow up emails.
  • Conduct and lead site tours of the hotel as required.
  • Assist in developing and maintaining effective partnerships with group clients and resort partners (i.e. Tourism Whistler, Whistler Blackcomb).
  • Together with DOSM, represent the hotel at industry trade shows, events, and relationship development meetings.
  • Perform other tasks as assigned by management.
EXPERIENCE
  • Strong Marketing, social media, graphic design, and blogging background is necessary.
  • Front Desk, Reservations or Sales experience in a medium sized property with proven experience in customer service and selling.
  • Post-Secondary Education or equivalent
  • A proven track record of consistently contributing to improving property/service standards.
SKILLS AND ABILITIES
  • We are looking for a positive, energetic, and motivated self-starter who believes in providing true customer service while maximizing revenue opportunities for the hotel.
  • You lead by example, with a strong work ethic and are results driven.
  • Excellent time management and organizational skills with the ability to multitask effectively in complex situations while portraying a calm, assured and professional manner at all times.
  • Strong computer skills are necessary.
PROFESSIONAL SKILLS
  • You must be familiar with hotel operating systems and software, and be computer literate in, Outlook, Microsoft Word, Excel, and Publisher.
  • Proficient in Adobe Suite including Photo Shop, Illustrator, and InDesign.
  • Experience with Google analytics is required.
  • You are a team oriented and share your positive attitude with your fellow peers.
  • Good attention to detailed with the ability to meet tight deadlines.
  • You are organized and good at multi-tasking.
  • You must have strong oral and written communication skills.
