Reporting to the Director Sales, Business & Major Events, the Sales Coordinator is responsible for providing administrative support to the Ottawa Tourism Business Events and Major Events teams. This position will provide the successful candidate with an ideal opportunity to grow and develop their career in the tourism industry with exposure to multiple areas of the organization. Our Business Events and Major Events teams are responsible for selling Ottawa as a destination for meetings and conventions, major events, sport events, and group tour business. Projects that regularly support the two business units include supporting the sales managers in a range of areas such as data entry into the CRM, bid book preparation, site inspection coordination as well as event and familiarization tours, preparation for industry events such as trade shows, client servicing, responding to member and client inquires (both written and on the phone).
This position is based out of the Ottawa Tourism offices in beautiful downtown Ottawa. Ottawa Tourism employs a hybrid work model, with some ability for all employees to work remotely. In some cases, certain positions will have an ongoing requirement to maintain a physical presence in the office. Such details will be discussed during the application process.
Primary Areas of Responsibility
Assist Sales Managers with inputting and maintaining all accounts and opportunities through a customer relationship management system.
Supporting the Sales Managers in various areas such as data entry, bid book preparation and lead deployment to the appropriate sales manager.
Conduct event and familiarization tours.
Support the preparation for industry events such as trade shows, client servicing
Respond to member and client inquiries (written and on the phone).
Liaise with other departments as required
Desired Qualifications
1 year of related experience
Degree or diploma in a business, hospitality, sales or marketing-related field
Strong customer service focus
Strong organizational and administrative skills
Proficiency in all aspects of Microsoft Office 365
Ability to work with limited supervision
Ability to work collaboratively in a team environment
Proficiency in using database/CRM software, and some back-end web capabilities
Proficiency with social media platforms
Assets
Bilingual in both of Canada's official languages
Experience working in tourism, hospitality, or destination management/marketing
Experience group booking and/or customer relations management system
Experience with event planning
Experience working with members
Project management background
