Position Overview:






Reporting to the Director of Sales & Marketing, the Sales Administrator plays a critical role in supporting the Sales team across Toronto, Ottawa, Montreal, and Vancouver. This position is designed for someone who is detail-oriented, highly organized, and thrives in a fast-paced, customer-facing environment. Given the national scope of the role, bilingual proficiency in English and French is required.





The Sales Administrator will be responsible for managing inbound leads, ensuring accurate CRM data hygiene, supporting the Regional Account Managers (RAMs), and helping drive efficiency by leveraging AI tools and streamlined processes. This role requires excellent communication skills, the ability to quickly understand a prospect's needs, and a collaborative mindset to work closely with the Sales & Marketing team.





This is a hybrid role based in Toronto, with a requirement to work from the office at least three (3) days per week, adjusting as needed based on business demands.




Key Responsibilities (Including but are not to be limited to)






Lead Management & Customer Support




Monitor and manage all inbound leads (phone, email, website, chatbot, walk-ins, paid advertising). Qualify leads by documenting office space requirements in detail and assigning them to the appropriate RAM. Respond to inquiries quickly and ensure prospects receive an excellent first impression of iQ Offices. Support on-site tours for prospective clients in Toronto when required.



CRM & Data Management




Input, assign, and track leads within the CRM (HubSpot), ensuring data accuracy and task completion across all portfolios. Maintain data hygiene and monitor performance metrics to support sales reporting. Provide insights and recommendations to improve processes and outbound messaging.



Sales Support & Administration




Assist RAMs and the Director of Sales & Marketing with day-to-day sales activities and projects. Prepare agreements and proposals based on RAM specifications and send them on behalf of the RAM when required. Prepare reports, maintain order/prospect databases, and support aggregator administration. Contribute to sales process improvements, training content, and team efficiency initiatives. Utilize AI tools to streamline workflows and improve responsiveness.



Skills & Qualifications





Bilingual in French and English (required). 1-3 years of sales, customer service, or administrative support experience Strong CRM experience (HubSpot preferred); comfortable working with data and reporting. Exceptional attention to detail, organizational skills, and ability to manage multiple priorities. Proficiency with Microsoft Office 365 and confidence using AI or digital tools to increase efficiency. Excellent written and verbal communication skills. Strong problem-solving ability and customer-first mindset. Previous experience in coworking, commercial real estate, or leasing is an asset. Flexibility to adjust working hours when necessary to accommodate time zone differences.
