We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will have a strong background in office administration and customer service, with proficiency in various software applications. This role is essential for ensuring smooth operations within the office, providing support to staff, and maintaining effective communication with clients.
Responsibilities
Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy.
Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
Handle filing and organization of documents to ensure easy retrieval and compliance with company policies.
Provide exceptional customer support by addressing inquiries and resolving issues promptly.
Assist in bookkeeping tasks, including invoicing and managing accounts using QuickBooks.
Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, and presentations.
Proofread documents for accuracy and clarity before distribution or filing.
Support the team with clerical duties as needed, including typing correspondence and preparing reports.
Maintain confidentiality of sensitive information in accordance with company policies.
Requirements
Proven experience as an Administrative Assistant or in a similar administrative role.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
Familiarity with QuickBooks is highly desirable; experience in bookkeeping is a plus.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent phone etiquette and customer service skills to effectively communicate with clients and team members.
Attention to detail in data entry, filing, and proofreading tasks.
Previous experience in a medical or dental office setting is preferred but not mandatory.
