Position Title: Retail Coordinator

Team and Location: Retail, Calgary, AB

Position Summary:

This administrative position, reporting to the Director of Retail Operations, assists the Retail Ops team in their efforts to maximize the profitability of the Retail business. This role provides admin support to the Director, the Dealer Operations Manager and their teams as needed.

Key Responsibilities:

Retail Director Support:

  • Create and maintain effective workflow and communications to assist in achieving departmental objectives
  • Track and verification of Procurement Card Expenses. Ensure all receipts/charges are accounted for, submits spreadsheets with appropriate G/L coding to AP for processing
  • Monthly MG&A verification/allocation; cross verify all charges; submit all changes/re-allocations to appropriate BU's as required
  • Meeting/Event Planning/travel arrangement
  • Expense reporting
  • Contract approval coordination with TM/Legal dept
  • New hire onboarding
Dealer Operations Activity Support:
  • Maintain dealer business content accurately in all back office systems - PDI report/RDMs
  • AFE tracking and administration (including look back process) in Service Now
  • Power BI Updates - Tracking of Business Review submissions. Provide relevant updates and reports to Territory Managers (TMs), Divisional Managers (DMs), Regional Operational Managers (ROMs).
  • New Stations/Lost Stations/Renewals, Contract Expiry Tracking)
  • Lost Stations
  • Renewals
  • Contract expiry tracking
  • Dealer Initiatives and other activities (eg. Carwacs, Dealer Ops meetings, Dealer council, tradeshows)
  • Review, tracking and processing of dealer payments- Cheque Requisition for forgivable loans/prepaid dealer loans, site credits and chargeback
  • Collaborate with different business units within the organization to ensure various tasks are completed in a timely manner.
  • Dealer Finance Administration:
  • Invoice payments, requisition approvals for JDE, invoice coding, Bulloch ALR monthly charges
  • Dealer Operations Support:
  • Administrative Support to Dealer ROM/TMs as required
  • Esso Marketing Assistance Program Administration - Ensure that Imperial Oil is invoiced as per the MAP Agreement
  • Forgivable loan database management in collaboration with Finance
  • Assist with Administration of OTR program, Loyalty planning and execution measures, Payment Solutions, POS and BOS Support, Help Desk and Back Office Support, MS reporting and distribution
Qualifications and Skills:
  • Post-secondary education/ Certificate
  • This role requires the incumbent to be highly adaptable, detail oriented and organized in order to effectively function in this cross functional and collaborative environment
  • Must be able to work independently but also within clear direction
  • Excellent communication skills, Microsoft Office with a focus on Word, Excel and PowerPoint
  • Must be able to prioritize various tasks and responsibilities based on the needs of the business
