As Resource Manager, you will:






Oversee the workflow/traffic for Citizen's specialty teams across North America, managing incoming briefs and projects for the creative, design, strategy, (and digital) teams Assess the agency's capacity to take on new projects, making adjustments to staffing levels or workflows as necessary to optimize resource utilization Strategically allocate resources based on schedule, workload, experience level, and area of expertise, connecting with business leads to ensure projects stay on track and on schedule (and adeptly course-correct when required) Identify potential risks or challenges related to resource allocation and develop mitigation strategies to minimize disruptions to project timelines or budgets Develop and implement processes and workflows to streamline the allocation and utilization of resources, identifying innovative platforms to increase visibility to resource capacity and project efficiency & profitability Organize regular status/check-ins with the specialty teams, maintain and share a holistic project status worksheet to keep track of all active jobs, team bandwidth, and priorities Organize regular status/check-ins with business leads to forecast resource requirements based on project pipelines, client demand, and historical data Track, approve, and balance absence requests across the team, creating contingency plans and workflows; escalating to senior management as necessary Maintain a robust freelancer database, managing freelance outreach, contracting, and scheduling, consulting with the account team to ensure the freelance budget is appropriately managed Act as an agency awards liaison and additional support to the marketing team in the development of award show case studies and submissions Assist with additional administrative duties, such as the processing of invoices and completing additional internal administrative tasks as the need arises Oversee processes to ensure scopes are adhered to and time tracking is accurate and monitored.




What you bring to the table:




Significant experience in resource management, project management, or operations management, preferably gained in a PR or Advertising agency or similar environment In-depth knowledge of resource management principles, including capacity planning, resource allocation, and utilization optimization Strong proficiency in project management methodologies, tools, and techniques Demonstrated leadership skills with the ability to motivate teams, delegate tasks effectively, and foster a collaborative and results-driven work environment Excellent relationship skills; good listener; respects the expertise of others; ability to motivate and generate effective action from all levels of the organization. Able to build strong relationships with team members across the organization. Ability to effectively and efficiently manage high volume, velocity, and complex workflows with grace and poise A self-motivated teammate with a high personal standard of excellence
