Position Overview

We are seeking a detail-oriented and proactive Residential Property Administrator to join our team. The ideal candidate will be responsible for managing and overseeing the day-to-day operations of residential properties. You will handle administrative tasks, tenant communication, lease management, maintenance coordination, and ensure smooth property operations while maintaining a high level of tenant satisfaction.

Key Responsibilities

Administrative & Tenant Management

Oversee all administrative tasks, including tenant correspondence, work order management, service request processing, and accounts payable invoice coding. Review leases, prepare lease abstracts, and input essential information into the database. Coordinate tenants move-ins, ensuring the collection of necessary insurance, PAD, and contact information. Manage tenant move-outs, including stopping billing notices. Issue demand, default, and termination notices. Foster relationships throughout the organization to ensure a smooth flow of information. Assisting the preparation of annual budgets, including the collection and review of RFPs and contracts. Participate in and lead special projects and events. Perform other duties as required.

Financial Management & Reporting

Conduct monthly reviews of rent rolls and pre-authorized debit reports. Assisting rent collection and outstanding arrears, prepare accounts receivable reports, provide commentary, and prepare account reconciliations as needed. Support the preparation of monthly ownership reports, including variance commentary. Update management report information in Excel spreadsheets monthly, including pivot table and formula updates. Collect monthly check meter readings and process tenant chargebacks. Assisting verifying CAM and Tax information for year-end adjustments.

Qualifications

Minimum of 3+ years of administrative experience, ideally within commercial property management. Experience auditing tenant leases, contracts, and monthly rent rolls. Experience with accounts receivable reconciliations and rent collection. Basic understanding of financial statements, budgets, and monthly variance reporting. Proficiency in Microsoft office, especially Excel. Familiarity with Yardi software is a plus. Exceptional customer service skills with the ability to effectively communicate with tenants, vendors, building operators, co-workers, and executive team members.
