Position Overview
The Project Coordinator plays an essential role in supporting both the Estimator and Site Supervisors by assisting with tendering, organizing project information, obtaining permits, coordinating with trades, and ensuring all project documentation is accurate and up-to-date. This position is ideal for someone who thrives in a fast-paced construction environment and enjoys being involved in all stages of luxury residential builds.
Key Responsibilities
Support the Estimator with supplier/trade quote requests, and scope accuracy
Assist Site Supervisors with project coordination, documentation, material tracking, and organizing on-site information
Prepare, submit, track, and coordinate all required residential permits, including development permits, building permits, HVAC, electrical, gas, and any required municipal documentation
Communicate proactively with municipalities and regulatory authorities to ensure timely approvals
Prepare and manage tender packages; follow up with subcontractors and assist with bid comparisons
Maintain and organize project documentation, drawings, revisions, inspection reports, and schedules
Assist with implementing and maintaining estimating systems and construction software
Coordinate communication between the Clients, Estimator, Site Supervisors, trades, and suppliers
Ensure project information flows smoothly between office and site, supporting field staff with timely and accurate details
Prepare and distribute weekly client updates for all projects.
Qualifications
1-3 years of experience in construction coordination, estimating support, or a similar role (residential experience preferred)
Strong understanding of construction drawings, details, and terminology
Experience preparing and coordinating residential permits is an asset
Proficient with Microsoft Excel; experience with Job Tread is an advantage
Background in Interior Design will also be considered an asset
Highly organized with strong attention to detail
Effective communication skills--comfortable working with trades, suppliers, supervisors, and internal staff
Ability to handle multiple priorities and work efficiently in a deadline-driven environment
