The Resident Services & Leasing Coordinator is a tenant-facing administrative role focused on supporting leasing operations, resident services, and light property administration. This position ensures a seamless move-in and move-out experience, maintains accurate lease records, assists with tenant communications, and helps foster a strong sense of community within the building.
This role is primarily administrative and operational; heavier maintenance responsibilities remain with the Resident Manager.
Required Hours are 10 am - 6 pm with a bi-weekly weekend rotation.
Key Responsibilities
1. Tenant Support & Engagement
Respond to general tenant inquiries via email, phone, or portal
Support
move-in process
: send welcome emails, coordinate key pick-ups, schedule elevator bookings, assist with suite inspections
Support
move-out procedures
: schedule inspections, coordinate key returns, manage forwarding information
Assist with community engagement: posting building notices, newsletters, and event reminders
2. Lease & Contract Administration
Maintain accurate lease records, files, and tenant information in the CRM
Prepare and send lease renewal notices
Track tenant documents (insurance, PAD authorizations, change forms)
Support lease audit processes
3. Property Operations Support (Light)
Conduct periodic rounds of common areas to ensure cleanliness and safety
Assist with suite inspections (pre- and post-move-in)
4. Marketing & Community Building
Take photos and videos for social media or internal records
Assist with resident communications (welcome emails, newsletters, announcements)
5. Administrative & Accounting Support
Assist with A/R notices, invoicing, and tracking rent or fee payments
Support bank drafts, online payments, and reconciliation
File and organize administrative documents for quick access
6. Front Desk & Reception Support
Greet visitors and handle building inquiries
Manage incoming calls for leasing or property inquiries
Assist with on-call support as backup to the Resident Manager
Qualifications & Skills
Previous experience in property management, leasing, or administrative support preferred
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Comfortable using CRM systems, resident portals, and Microsoft Office or Google Workspace
Friendly, professional, and tenant-focused attitude
Ability to handle multiple tasks and prioritize effectively
