Job Description


Our research lab in Mathematical Modeling and Program Science at the Centre for Urban Health Solutions, St. Michael\xe2\x80\x99s Hospital is looking for a Research Coordinator II. Our lab (www.mishra-lab.ca) develops data-driven mathematical models as experimental frameworks for the strategic design, implementation, monitoring, and evaluation of public health programs to control infectious disease epidemics, including HIV/STI and more recently, COVID-19 and monkey pox. The research program is led by Dr. Sharmistha Mishra at St. Michael\xe2\x80\x99s Hospital. Our lab members and collaborators are passionate about making a difference with their unique skills and perspectives within a diverse team, and are working together on what they love to do.

We are recruiting a motivated research coordinator with exceptional communication (written and verbal), organizational, time-management, and technical skills to be part of a growing team of data scientists, mathematical modelers, epidemiologists, and students. The position involves working with another research coordinator on the team. The position requires pro-active problem-solving, anticipating issues before they arise, and exceptional skills in ensuring multiple coordination tasks are carried out and completed to meet project timelines. This position is a supportive role in the lab\xe2\x80\x99s research environment, but requires experience and knowledge of how research is conducted and working within a team. The position involves working in collaboration with communities and with investigators, public health teams, and community members in low and middle-income countries and across socio-cultural contexts. The incumbent must be flexible to work beyond the job description at times as work demands.

The position involves the following three activities and responsibilities (a certain activity might be a priority at times given research team needs): coordination and research administrative activities; research dissemination and lab website maintenance; literature review.

COORDINATION and RESEARCH-ADMINISTRATIVE ACTIVITIES (70%)

  • Develop, implement, and ensure adherence to standard operating procedures and process within the lab and institution
  • Anticipate areas of potential risk to project timelines and achievement of deliverables and, when applicable, escalate issues to project lead and PI for resolution
  • Coordinate meeting schedule for principal investigator (PI) with external collaborators
  • Coordinate and chair internal lab meetings and external research meetings (in-person or virtual), including organizing logistics for offsite research meetings
  • Documentation (meeting minutes) during external lab meetings led by PI
  • Manage the team shared repositories for projects (organization, documentation, oversight and liaising with team members)
  • Management and oversight of databases and data dictionaries, and research ethics approvals for projects involving use of the data
  • Oversee and manage the team\xe2\x80\x99s GitHub public repository (private and public)
  • Maintain and manage data and records pertaining to projects and communications in the projects (using ASANA, Slack and GitHub)
  • Grant application support (especially CIHR): preparing and drafting budget justifications, reference management and formatting, coordination of application logistics for grant online submission
  • Prepare and monitor research ethics applications and subcontracts
  • Develop and write data-sharing agreements and data-request documents, including research activity paperwork with ICES
  • Communicate and liaise with research, policy, program, and community partners
  • Coordinate trainee placements (e.g. summer and work-study students)
  • Monitor research fund expenditures and support finance reporting
RESEARCH DISSEMINATION and LAB WEBSITE MAINTANENCE (20%)
  • Support PI with manuscript preparation and submission, including reference management and formatting for online submission
  • Edit and ensure timely production of lay summaries of research findings
  • Communicate and liaise with internal media/communication teams about research projects
  • Organize and work on the lab website
  • Responsible for full oversight and timely updates to lab website regularly with new publications and public dissemination activities by our team
  • Edit all material that goes onto the lab website (e.g. editing lay summaries)
  • Adapt and modify website design and organization
  • Pro-actively anticipate and troubleshoot website problems when they arise
LITERATURE REVIEW (10%)
  • Conduct literature reviews and annotation to support research papers and grants
  • Support systematic reviews with respect to screening and data extraction, under mentorship and supervision of senior team members or in collaboration with students as the second reviewer
QUALIFICATIONS:

Undergraduate Degree and 3 years of relevant experience, OR demonstrable equivalent combination of specialized education and experience.

Master\'s degree in Public Health, Epidemiology, Health Promotion, Social Work, Sociology, Health Sciences, History, and/or related discipline, or demonstrable equivalent combination of specialized education and experience preferred

Minimum of two years of work experience in an academic research setting coordinating research projects and/or grant based programs - required

Experience and/or understanding of research involving quantitative data \xe2\x80\x93 required

Excellent writing and editing skills, including writing and editing lay summaries \xe2\x80\x93 required

Fully proficient with MS Office software (Word, Excel, PowerPoint, Outlook, etc.), Zoom and other virtual meeting platforms - required

Fully proficient with a reference management tool (Mendeley, BibTeX, Endnote, Zotero, etc.) - required

Prior experience in conducting literature reviews \xe2\x80\x93 required

Experience with Github \xe2\x80\x93 preferred

Experience with developing and managing websites (wordpress, HTML) \xe2\x80\x93 preferred

Experience with least one statistical software program (R, SAS, Python, etc.) \xe2\x80\x93 preferred

Excellent verbal and written communication skills

Superior organizational and time management skills to manage and prioritize workload

Pro-active, self-directed learning and problem solving

Ability to multi-task, work accurately and effectively under pressure, meet deadlines, and remain composed in high-pressure situations

Demonstrated commitment to addressing the social determinants of health and operating from an anti-racist, anti-oppressive framework
