OnSPARK is a health data platform that supports research in support of quality improvement and innovation across the long-term care (LTC) sector in Ontario. Operating in close collaboration with health system, government and academic partners, OnSPARK securely integrates and curates real-world data from LTC homes to enable high-impact, evidence-informed research.
We are seeking a Research Coordinator to play a central role in coordinating projects including managing research ethics and privacy compliance activities for the platform and in support of the OnSPARK leads. Key responsibilities include coordinating submissions for institutional Research Ethics (including new applications, renewals, amendments, and reporting), maintaining documentation, and supporting PHIPA compliance across projects. The position will oversee user account authorization processes (liaising with IT colleagues to facilitate account creation, closure, and user support), track mandatory and other training, undertake privacy refreshers for team members, and support documentation related to Data Sharing Agreements, NDAs, and secure-access procedures. Other responsibilities include contributing to/coordinating new project proposals and supporting reporting requirements of the OnSPARK leads. Data analysis and support for research dissemination may also be required.
The team operates primarily in a remote environment with a hybrid component. While most work can be completed remotely, in-person meetings or events are held on campus as needed, without a fixed schedule.
Job Summary:
Responsible for applying specialized knowledge to initiate, implement, manage, and coordinate moderate to large research projects.
Duties and Responsibilities:
Develop an implementation plan for research projects.
Design promotional strategies and related materials to encourage participation and support for research projects.
Perform quantitative analyses of research data.
Interview study participants to gather qualitative and quantitative data.
Facilitate focus group sessions with project participants.
Coordinate and manage the collection, delivery, entry, verification, analysis, and reporting of data.
Oversee the design and maintenance of databases, data collection forms, error checking methods, and related programs for collection, analysis, and reporting.
Apply specialized knowledge and scientific principles to review, critically appraise and interpret published literature.
Write sections of scientific papers, funding proposals, grants, and abstracts.
Coordinate the activities of research staff and resources to ensure that projects progress in accordance with predetermined timelines.
Develop estimates of time and resources for research projects.
Use statistical software to analyze data and interpret results.
Write data management and operations documentation for projects.
Liaise between the project centre and remote project sites and personnel.
Ensure that relevant research methodology is applied and all research material is handled in accordance with established protocols, policies, and procedures.
Develop presentations and present information and training sessions to project personnel and project participants.
Present at meetings, seminars, and conferences.
Keep project participants informed of project progress through regular reports and newsletters.
Implement and maintain research project budgets. Create financial projections and make adjustments to research project budgets throughout the fiscal year.
Exercise appropriate controls, monitor, and reconcile accounts.
Conduct literature searches.
Supervision:
Provide lead hand supervision and is responsible for the quality and quantity of work of others.
Ongoing responsibility for supervising up to 9 casual employees at any one time.
Provide orientation and show procedures to others.
Qualifications:
Bachelor's degree in a relevant field of study.
Requires 5 years of relevant experience.
Assets:
Experience supporting IT-facing coordination activities (e.g., user onboarding, training coordination, liaising with technical teams). Familiarity with the long-term care sector, provincial health data environments, or health services research.
Experience working with PHIPA, data governance frameworks, or secure research environments.
Prior involvement with multi-partner research collaborations or data-access platforms.
Experience preparing/reporting on grants/contributions/transfers and/or supporting academic writing.
Knowledge of health-system stakeholders, research networks, or provincial data custodians.
Additional Information:
Experience preparing and submitting research ethics applications, annual renewals, and amendments to a Research Ethics Board.
Experience coordinating research projects involving sensitive or personal health information, including familiarity with PHIPA requirements, privacy training, and secure-data workflows.
Strong organizational skills with demonstrated ability to manage multiple projects, track documentation, and maintain compliance-related records.
Ability to communicate effectively with researchers, data partners, and technical staff, including support for user onboarding, training, and account management.
Experience preparing administrative or research documentation such as Data Sharing Agreements, NDAs, protocols, or project proposals.
Ability to work in a fast-paced, multi-stakeholder environment that requires discretion, accuracy, and attention to detail.
