Reporting to the Director, Canadian Research, the

Research Administrative Coordinator

will provide administrative and logistical support to the Research Team, facilitating engagement with various stakeholders in the ALS community, including clients, families, researchers, clinicians, and peer organizations. You will play an essential role in the end-to-end coordination of departmental projects, the delivery of research grants, and reporting responsibilities. You will also be responsible for the logistical planning and execution of events related to the National Research Program and coordinating travel and meeting logistics for the Research team.

Responsibilities:



National Research Granting Program

Coordinate the end-to-end management of research grants, track applications, and ensure timely and accurate execution of all deliverables. Collaborate with the Marketing, Strategic Communications, and Knowledge Exchange team to launch grant competitions. Act as the primary contact between grant applicants and ALS Canada, answering inquiries regarding the grant application process as required. Coordinate selection committee meetings, providing detailed information and technical support as needed. Work with the Finance team to complete honoraria, expense claims, travel awards, and disburse grants. Send reporting reminders and templates to grant recipients, collect annual scientific and financial reports and ensure they are submitted on time and meet requirements. Process and manage grant extensions as requested, including collecting relevant supporting materials and approvals. Coordinate Research Team grant report review meetings and compile feedback for Board of Directors reporting.
Administrative Support

Provide general administrative support to the Scientific and Medical Advisory Council (SMAC) and the Canadian ALS Research Network (CALS). Facilitate cross-functional collaboration by scheduling meetings, coordinating with stakeholders, and recording minutes. Prepare pre-meeting briefings on behalf of the Research Team. Arrange travel and accommodations for the Research Team as needed. Maintain records of Research Program spending and coordinate regularly with the Finance Team. Periodically update the Canadian ALS Research census database and maintain relevant mailing lists. Maintain accurate research data and assist in the preparation of internal and external reports on research outcomes and funding utilization.
Event Coordination

Manage and execute logistics for ALS Canada's research events. Coordinate catering, hotels, venues, transportation, and event setup/teardown. Coordinate supply packing before and after events, including sorting and organizing supplies, and managing logistics for loading and unloading event materials. Liaise with event spaces and vendors during events, providing day-of troubleshooting support as needed. Track costs and process expense claims as required.
Other

Extended hours and weekend work required for various events. Some travel may be required. Attend ALS Canada events as an ambassador of the organization. Perform other duties as assigned.

Qualifications:



College diploma or equivalent post-secondary education in office administration, event coordination, or a related field. 2 years of work experience in office administration, event coordination, or a related field. Experience in a non-profit or health charity environment, or working with individuals facing a terminal disease, is an asset. Knowledge of ALS and an understanding of the disease is an asset. Exceptional organizational, verbal and written communication, and interpersonal skills. Detail-oriented with strong editing skills. Ability to adapt to dynamic environments and reprioritize to balance urgent and important deliverables. Commitment to ALS Canada's core values: accountability, collaboration, compassion, dynamic, integrity, and respect. Proficiency in Microsoft Office Suite; familiarity with Adobe Acrobat, Photoshop, and Illustrator is an asset. Valid driver's license is an asset.
