About the Role
As a
Rental Coordinator
, you'll play a key part in creating unforgettable experiences for our clients. From elegant tableware to stylish furniture, you'll help design events that wow--whether it's a mountaintop wedding, a gala, or a corporate celebration. Think retail with a creative twist: you'll collaborate with clients, craft quotes, offer expert guidance, and keep the details on point so the big picture shines.
If you have experience in retail, events, customer service, or hospitality--or simply a flair for design, an eye for detail, and a passion for people--you'll fit right in. Every day brings something new, and that's exactly what makes this role exciting.
What You will Do
Engage with clients via email, phone, and in-person to understand their rental needs
Build lasting relationships with clients, vendors, and partners
Guide clients through the rental catalogue to help bring their vision to life
Ensure timely follow-ups and deliver exceptional service from inquiry to event completion
Host showroom visits and create table mockups
Ensure showroom and workspaces are maintained and always ready to inspire
Create and manage quotes, contracts, and invoices with accuracy and efficiency
Manage multiple client files ensuring deadlines are met within approved budgets
Collaborate with the operations team to efficiently manage logistics and inventory
Attend venue visits and assist with event setups, when necessary
Support trend research and assist with purchasing decisions
Occasionally pitch in with textiles, florals, or warehouse tasks as needed
What You Bring to the Team
Completion of secondary school (require)
Minimum 1-year of proven Sales and/or Event Coordination experience
Previous experience in retail, events, hospitality, or customer service
A creative eye and interest in design, decor, and visual styling
Comfort with tech (POS systems, email, spreadsheets) and basic math skillss
Proficiency with Microsoft Office, Google Docs/Sheets, project management tools and CRM platforms
Strong sales and customer service skills
Strong organizational skills and the ability to juggle multiple priorities
Excellent communication skills - both written and verbal
A friendly, team-oriented attitude
A genuine passion for events and creating memorable client experiences
A desire to grow and be part of something exciting, creative, and collaborative
A polished and professional presence - you will be selling to clients who expect the best for their milestone events, and your ability to deliver high-touch experience sets the tone for everything that follows
Your Work Schedule
Weddings and events do not always stick to a 9-to-5 -- and neither do we! While a typical week is around 40 hours, you will need to be flexible. Evening and weekend shifts are part of the magic, and yes, overtime may be required when things get busy. We will keep you in the loop with your schedule, and you will always know what is coming.
