HealthOne The Well, conveniently located in Toronto\xe2\x80\x99s vibrant King West neighourhood, is seeking a Rehab & Wellness Administrative Lead to support with the launch of our 3rd Rehab & Wellness practice at our brand-new multidisciplinary clinic, set to open by the end of 2023. HealthOne Rehab & Wellness The Well will be our newest unified team of rehab, wellness & mental health professionals equipped to provide a variety of services including massage therapy, acupuncture, naturopathic medicine, physiotherapy, counselling, and more. As such, we are looking for a dedicated & experienced professional with a passion for the Rehab & Wellness industry, matched with impeccable customer service, interpersonal, and administrative skills. Job Summary
In this exciting opportunity, you will play an integral role in ensuring the smooth day-to-day operations of the practice. The key responsibilities of this role include staying on top of all necessary administrative duties and regularly liaising between the service provider team & clinic management, while simultaneously delivering exceptional patient care to our growing community and coaching your team to do the same. Schedule: 40 hours per week, between Monday - Saturday. Responsibilities

• Interact compassionately with all patients ensuring that they feel heard, accommodated, and encounter a 5-star experience at all times.
• Proactively manage and coach the rehab & wellness administrative team to maintain an engaged workforce that is delivering strong results.
• Efficiently handle front desk tasks with pristine detail, including but not limited to optimizing schedules, appointment confirmations, insurance billing and payment, and patient data entry.
• Contribute to smooth clinic flow and overall success of the business by providing administrative support to all practitioners as well as tracking performance metrics and identifying areas of improvement.
• Ensure adherence to existing policies & procedures as well as create systems or guidelines as necessary; train all new & existing team members on changes to support continued operational excellence.
• Collaborate with other practices and functions (ie. Marketing, Finance, Human Resources, etc) within the HealthOne organization.
• Actively seek out opportunities to improve and expand our patients\xe2\x80\x99 experience in the clinic, while assisting the management team to maximize clinic performance and growth.

Requirements

• 3+ years of progressive administrative experience in the rehab & wellness field.
• Strong client service skills and impeccable communication skills.
• Solid work ethic, organizational skills and an ability to manage competing priorities effectively while remaining efficient in your delivery.
• Self-starter, motivated by goals, and eager to wear multiple hats to be able to grow with us.
• Tech savvy and proficient with MS Office (MS Word, Excel, Outlook) and experience using a CRM/EMR, specifically Jane software.
• Ability to work the hours required (evenings and Saturdays).

Nice to Have

• Post-Secondary education in Kinesiology or a similar topic.
• Previous position leading a team and managing staff in a similar environment.
• In-depth knowledge of orthopedic devices & passionate about their benefits.
