Overview of the Role & Team
Reporting to the Registrar, the Registration Officer (RO) is responsible for providing extensive customer service support to applicants, students, faculty and staff. Clients are to receive support via in-person, email and phone. The Registration Officer supports and delivers a wide variety of services relating to admissions, registration, records, fees/payments. The (RO) is the first point of contact in the Office of the Registrar and works in a fast-paced/high volume and time sensitive environment. The position involves cooperative work across all departments within the organization.
Responsibilities and Duties

  • Establishes a positive first point of contact experience for ILAC HE clients.
  • Provides the public and students with current and accurate information on ILAC HE programs, services, and events across all campuses.
  • Provides front-line, in-person, professional customer service to applicants, students, staff, coordinators, and faculty on behalf of the Office of the Registrar.
  • Investigates complex student situations related to registration and admissions and provides current and accurate information to support a seamless experience.
  • Examines and trouble-shoots student record anomalies regarding admission, registration, graduation, fees, etc.
  • Maintains the highest standards in regards to confidentially, enforcing FIPPA standards and acts accordingly in response to any issues.
  • Guides and assists students with processes such as block registration, demonstrates systems, and verifies that students are using them correctly.
  • Provides cross-functional backup/support to the Admissions team as required to meet deadlines and to enhance service. This may include such things as assisting with withdrawals, and deferrals.
  • Supports all out-going call (phone) campaigns to prospects, applicants, and current students for various things like reminders to register and notices around important deadlines.
  • Answers and monitors the Registrar email account (registrar@) and provides information/redirects as required.
  • Maintains the accuracy and integrity of student records, both for ILAC HE internal purposes and for external compliance purposes.
  • Maintains positive and constructive relations with colleagues across the ILAC HE matrix.
  • Maintains excellent knowledge of the ILAC HE software processes and databases.
  • Supports in the orientation sessions for the new students.
  • Other duties as required.

Requirements
  • Excellent command of the English language
  • A minimum two-year diploma in such areas as Office or Business Administration, Business or a related field.
  • 2 + years of client services experience, preferably in the international education sector
  • Show a commitment to providing an extremely high level of customer service internally and externally
  • Enthusiastic, energetic and excellent communication, presentation and interpersonal skills
  • Excellent organizational skills and the ability to meet deadlines
  • Experience of working with international students
