Position summary

The Registration Coordinator plays a key role in supporting the successful delivery of the project to integrate new professions into the College of Physicians and Surgeons of BC (CPSBC). This position is responsible for providing day-to-day coordination, ensuring effective communication, documentation, and tracking of activities to keep the project on schedule and within scope.



The Registration Coordinator works collaboratively with internal teams and external key partners to support project planning, logistics, communication, and reporting--helping to ensure that timelines, tasks, and resources remain aligned throughout the project lifecycle.

In addition to project responsibilities, the Registration Coordinator supports the Registration department's operations, helping to ensure that all applicants and registrants meet the legislative, bylaw, policy and standards requirements that govern the CPSBC.

Duties and responsibilities



Duties include but are not limited to the following:



Project Planning and Tracking Support the development and maintenance of detailed project plans, timelines, and task lists. Track milestones, deliverables, and dependencies, ensuring alignment with project objectives. Monitor progress against established schedules and flag potential delays or risks. Assist with resource coordination and scheduling across teams. Key Partner Engagement and Communication Facilitate communication and collaboration between internal departments, external partners, and regulatory stakeholders. Schedule and coordinate meetings, workshops, and consultations. Prepare and distribute agendas, meeting materials, and follow-up action items. Support relationship management with key external partners to ensure timely exchange of information. Documentation and Reporting Maintain accurate and organized project documentation, including plans, decisions, and records of discussion. Prepare regular project status reports, summaries, and updates for leadership and committees. Support the preparation of briefing materials and presentations. Administrative and Logistical Support Provide administrative support for project activities, meetings, and correspondence. Coordinate logistics for meetings and events (e.g., scheduling, technology setup, catering, travel). Maintain tracking systems for project-related correspondence, contracts, and deliverables Issue and Risk Management Track and document issues, risks, and change requests. Support the development and implementation of mitigation strategies in collaboration with project leads. Ensure issues are escalated appropriately and resolved in a timely manner. Department Operations provide general support regarding registration and licensure requirements, including through the application process and the Annual License Renewal process correspond with applicants and registrants via mail, email and telephone to obtain and document specific details communicate and ensure requirements of licensure are being met within given time frames, in accordance with CPSBC legislation, Bylaws, Practice Standards, and policies and procedures other duties as required

Skills and qualifications



Required skills and qualifications include:



post-secondary education in project coordination, administration, business, or a related field; an equivalent combination of education and experience may be considered Certified Associate in Project Management (CAMP), Project management Professional (PMP), or equivalent, certification or training is an asset Strong organizational and time-management skills with the ability to manage multiple priorities 2-4 years of experience supporting projects in a coordination or administrative role, preferably in health care, regulation, or government settings experience managing multiple tasks and priorities in a fast-paced, deadline-driven environment excellent written and verbal communication skills, including the ability to prepare clear documentation and reports proficiency with Microsoft Office Suite and project management tools proven ability to work collaboratively across diverse teams and with external partners knowledge of regulatory processes or professional licensing considered an asset detail-oriented with strong analytical and problem-solving skills collaborative and adaptable with a proactive approach to coordination and communication ability to anticipate needs, manage competing deadlines, and maintain accuracy under pressure professional judgment, discretion, and a commitment to confidentiality

The compensation range for this position is $59,267 to $74,083 per year.
