About the Role

The Recruitment Coordinator plays a critical role in delivering a best-in-class candidate experience while enabling an efficient, well-organized, and scalable interview process. This role serves as the central point of coordination for all interview logistics, candidate communication, and interview feedback management, while also partnering closely with the Director of Talent on continuous process improvement and time-to-hire optimization.

In addition, this role may support full-cycle recruiting for select hourly Operations roles as business needs require.

This is a hybrid role in Toronto on 2 Bloor St E, Toronto, ON M4W 3E2.

Key Responsibilities

Interview Coordination & Candidate Experience

Own end-to-end interview coordination across multiple roles and stakeholders Schedule phone, virtual, and in-person interviews across time zones (US & Canada) Prepare and distribute candidate interview packets and interview agendas Create clear, concise candidate presentation materials for interview panels Ensure candidates have a positive, timely, and professional experience at every stage

Interview Feedback & Reporting

Collect, organize, and track interview feedback from interviewers Ensure feedback is submitted on time and in alignment with company standards Synthesize feedback into clear, easy-to-follow summaries for hiring managers and leadership Maintain accurate and up-to-date candidate records in the ATS

Process Improvement & Time-to-Hire Optimization

Identify bottlenecks and inefficiencies in the interview and hiring process Partner with the Director of Talent to design and implement process improvements Create and document standard operating procedures for recruiting workflows Track and report on recruiting metrics (e.g., time to hire, interview completion rates) Recommend tools, templates, or workflow changes to improve speed, quality, and consistency Recruiting Support (as needed)

Support or manage recruiting for hourly Operations roles when required

Post jobs, screen candidates, coordinate interviews, and support hiring decisions Partner with Operations leaders to understand role requirements and hiring timelines

Qualifications

2+ years of experience in recruiting coordination, talent operations, or HR support Strong experience scheduling complex interviews across multiple stakeholders Highly organized with exceptional attention to detail Excellent written and verbal communication skills Ability to synthesize information and present it clearly and concisely Comfortable working with ATS platforms and Microsoft 365 tools (Outlook, Teams, Excel) Process-oriented mindset with a passion for continuous improvement * Ability to manage multiple priorities in a fast-paced environment
