Reporting directly to the Human Resources Manager, the Recruitment Coordinator will play a key role in overseeing the full recruitment lifecycle, acting as the first point of contact for potential new hires and supporting broader Human Resources functions. This role oversees job descriptions, job postings, resume selection, candidate screening, and candidate communications. This role is also responsible for overseeing the recruitment module within the HRIS system, including training hiring managers and ensuring proper use and documentation. This position will manage multiple open roles across the province at once and will work closely in collaboration with hiring managers to ensure smooth and efficient recruitment workflows.
Role-specific Accountabilities
Recruitment
Review, edit, and maintain up-to-date job descriptions in coordination with department leads.
Draft and post job opportunities across internal platforms and external job boards.
Manage applicant tracking and hiring modules within the HRIS system to ensure a streamlined and consistent recruitment process.
Screen resumes and shortlist qualified candidates for review.
Manage job postings, schedule interviews, and handle candidate communications until completion of the interview process.
Conduct initial phone screens to assess qualifications, availability, and company fit.
Coordinate and schedule interviews between candidates and hiring managers.
Conduct reference and credential checks in compliance with company policy.
Regret unsuccessful candidates professionally and timely.
Track recruitment metrics (e.g., time-to-hire, applicant sources) and provide reports as needed.
Train hiring managers on use of the HRIS hiring module, ensuring proper access, system literacy, and compliance with hiring workflows.
HR Administrative Support
Maintain recruitment records, templates, and hiring documents in accordance with company policies.
Support the HR team in onboarding preparation once an offer is accepted (e.g., background checks, licenses, certifications).
Oversee the accuracy, functionality, and compliance of the hiring module in the HRIS system, including recommending system enhancements or training refreshers.
Assist in developing and improving recruitment-related practices.
Collaboration & Internal Communication
Liaise with hiring managers to clarify role needs and provide guidance on best hiring practices.
Represent the company at career fairs and recruitment events (requires travel).
Provide support on the HR initiatives during slower recruitment periods (e.g., policy reviews, company trainings, employee engagement).
Qualifications
Minimum 2 years of HR or recruitment experience, preferably in a multi-site or high-volume environment.
Post-secondary education in Human Resources, Business Administration, or a related field is considered an asset.
Experience with HRIS platforms (e.g., BambooHR) is a strong asset.
Excellent organizational and multitasking abilities, with a high level of attention to detail.
Proficiency in office software (e.g., Microsoft Office Suite) and a willingness to learn new technologies.
Excellent phone etiquette and interpersonal communication skills, capable of interacting effectively with candidates and staff.
Proven experience in general office administration and data tracking.
Strong verbal and written communication skills.
High level of discretion and confidentiality.
Ability to work efficiently in a dynamic, fast-paced, and changing environment.
Knowledge of employment legislation and HR best practices across multiple provinces is an asset.
Successfully complete and pass a Vulnerable Persons Criminal Record Check prior to initiating employment and annually thereafter.
