POSITION OVERVIEW:





The Recruitment Coordinator provides focused support to the Human Resources department by managing the full recruitment cycle with the focus being on field-based roles. This role ensures a consistent, timely, and well-organized hiring experience, while maintaining accurate candidate documentation, managing communication, and coordinating all pre-employment requirements. The Recruitment Coordinator works closely with the HR Generalist and HR/HSE Administrator to support workforce planning and maintain a reliable pipeline of qualified candidates.

KEY RESPONSIBILITIES:




Recruitment Operations:




Manage end-to-end recruitment for field positions, including screening, scheduling/coordinating, and executing interviews. Support the HR Generalist on higher-level field roles and office recruitment where required. Maintain recruitment metrics and prepare weekly vacancy status updates for upper management.

Candidate Sourcing & Review:





Review resumes and conduct interviews to find ideal candidates for the open roles. Build and maintain candidate pipelines for recurring or high-volume roles. Use multiple sourcing platforms to attract qualified candidates. Ensure all candidate communication is clear, timely, and professional.

Pre-Employment & Onboarding Coordination:





Coordinate all pre-employment testing (SureHire, drug and alcohol, skills testing). Administer in-house pre-employment Drug and Alcohol Testing (mouth swab). Issue onboarding packages once hiring decisions are made. Track and follow up on outstanding onboarding documents prior to orientation. Work with the HR/HSE Administrator to ensure training records and personnel files are updated. Maintain new hire lists and set up materials for orientation execution.

Administrative & HR Support:





Maintain accurate and organized candidate files and notes in BambooHR. Ensure documentation supports audit readiness and consistent HR standards. Provide continual administrative support to maintain organization and support the functions of the HR department. Professionally manage candidate inquiries and internal communication. Support general HR initiatives, employee engagement activities, and process improvements when needed. Provide additional support to the HR department as required.



QUALIFICATIONS & EXPERIENCE:




1-3 years of recruitment or HR experience, preferably in construction, trades, or industrial sectors. Ability to maintain confidentiality and handle sensitive information with discretion. Strong organizational skills with the ability to manage multiple open roles simultaneously. Post-secondary education in Human Resources, Business Administration or related field is considered an asset. Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with Applicant Tracking Systems (e.g., BambooHR). Strong communication skills and the ability to maintain professional, respectful interactions with both candidates and internal stakeholders. Comfortable conducting phone screens, interviews and facilitating candidate communication. Knowledge of pre-employment testing processes (fitness, drug & alcohol, background checks) is an asset. Having Certified Specimen Collector certification, and previous D&A testing administration experience is considered an asset. Valid Class 5 Driver's License not required, but ability to report to the office daily is expected. Willingness to complete criminal record check.
