AREA OF RESPONSIBILITY:


Reporting to the Manager, Information Governance, co-ordinates and schedules day-to-day records management activities of the Corporation’s records/information clerks. Co-ordinates records management activities to ensure adherence to the City’s Record Retention By-Law and F.O.I. legislation. Participates in corporate level planning, strategies and initiatives and assists with the development, implementation, delivery and maintenance of the City’s Records and Information Management Program.


  • Co-ordinates and schedules the day to day work assignments of the Public Works Records Clerks; Planning Records Clerks; Records Administrator; and Information Clerks.
  • Co-ordinates records management activities within Public Works and Engineering to ensure adherence to the City’s Record Retention By-Law and F.O.I. legislation, which includes all of the department’s satellite facilities.
  • Participates in corporate level planning, strategies and initiatives and assists with the development, implementation, delivery and maintenance of the City’s Records and Information Management Program.
  • Oversees records storage and disposition.
  • Reviews the City’s Records Retention By-Law on an on-going basis to ensure the department’s records are properly addressed, categorized and maintained within recordkeeping software.
  • Responsible for the department’s design, configuration and implementation of the City’s electronic record and information management system (BRIMS) and the resulting maintenance.
  • Provide direct support, guidance, and training on records, Information Management policies, principles & procedures as well as recordkeeping software to departmental staff.
  • Records Management cross functional team member.
  • Coordinates departmental reference library material.
  • Researches and prepares F.O.I./Routine Disclosure requests;
  • Other duties as assigned.


SELECTION CRITERIA:


  • High School (Grade 12) graduation plus an additional program of up to one (1) year or equivalent in Records Management / Information Management.
  • Over two (2) years, up to and including four (4) years’ experience in records management/information management.
  • Working knowledge of Infor/Versatile Records Management Software.
  • Working knowledge of Microsoft Office and Sharepoint.
  • Excellent public relations and strong leadership skills.
  • Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service.
  • Able to work independently and as part of a team.
