About Our Opportunity

Under the administration of the Manager of Records and Information Management and supervision of the Records Analyst 2, the Records Analyst 1 is responsible for implementing, administering, and monitoring the departmental records and information management program in accordance with RIM legislation, policies, and standards.

Primary Accountabilities

You will help to ensure that SNS\xe2\x80\x99 RIM program is managed in accordance with relevant records and information management related legislation, policy, and standards, including STAR/STOR retention schedules.

Your responsibilities will include:

  • Overseeing and supporting Central Registry operations.
  • Applying STAR and STOR records classification and retention schedules, including scheduling and dispositioning departmental records.
  • Coordinating the processing, transfer, and approval of semi-active or inactive records to the Provincial Records Centre, Nova Scotia Archives, or off-site storage facilities.
  • Helping the Records Analyst 2 to develop, review, and update STOR records retention schedules to reflect departmental functions, organizational changes, and records management requirements.
  • Providing advice and training to staff respecting records and information management at head office as well as in regional offices.
  • With support from IT and the Records Analyst 2, configuring, implementing, and using records management applications for the management of paper and electronic records.
  • Developing and applying RIM policies, standards, processes, and best practices.
  • Analyzing and developing solutions for records management issues including identifying areas for process improvement.
Qualifications and Experience

Bachelor\xe2\x80\x99s degree in a related field; or an equivalent combination of training and experience may be acceptable (i.e., a two year diploma in records management, information management or library science and two years directly related work experience).

You must demonstrate the following:
  • Comprehensive knowledge of records management concepts, principles, and practices.
  • Experience developing and applying STAR/STOR records classification or similar classification systems.
  • Familiarity with relevant Nova Scotia legislation such as the Government Records Act, Public Archives Act and Freedom of Information and Protection of Privacy Act.
  • Experience with specialized records and information management systems (e.g., InMagic DB/ TextWorks, FileNet) and other computer applications such as the Microsoft Office Suite.
  • Ability to work well independently and as part of a team.
  • Experience leading projects and supervising staff.
  • Strong relationship and communication skills to engage with various internal and external stakeholders, including clients in regional offices, corporate service providers, and RIM vendors.
  • Experience providing advice and delivering training to staff at different organizational levels.
  • Experience writing RIM policies, procedures, guidelines and/or best practices.
  • Exceptional attention to detail and analytical skills.
  • Organizational and time management skills including the capacity to work under the pressure of deadlines and multiple competing priorities.
  • A focus on client service delivery.
The following would be considered an asset:
  • Experience with IBM FileNet Enterprise Records software
  • Experience with InMagic DB/TextWorks records software
  • Additional relevant education (i.e., masters) and/or training or certification in records management or electronic records management

Pay Grade: PR 05

Salary Range: $1,835.79 - $2,251.48 Bi-Weekly
