Job Summary





We are seeking a friendly, outgoing, reliable and professional individual to join our team as the Receptionist/Front Desk Coordinator. This full time role is ideal for someone who enjoys being the first point of contact to clients and thrives in a fast-paced, multitasking environment. This role is essential in ensuring the smooth operation of our office.



As the face of our clinic, you'll play a key role in creating a positive first impression for everyday clients. This position involves greeting patients, answering calls, managing appointments and documents as well as supporting the clinical team with day to day administrative tasks.

Strong verbal and written communication skills Reliable and punctual Detail-oriented and organized Able to follow directions and adapt to changes in routine Capable of pausing tasks to handle interruptions and returning to complete them efficiently

Responsibilities




Greet and welcome clients and visitors in a warm and professional manner. Manage incoming phone calls with excellent phone etiquette, directing calls as necessary. Schedule and confirm appointments for patients Perform data entry tasks accurately to maintain patient records and office documentation. Assist with various duties such as faxing, scanning, processing payments and direct billing to insurance companies. Must be able to prioritize tasks and work under pressure while providing exceptional service Maintain confidentiality of patient information in compliance with privacy regulations. Support the rest of the staff as needed to enhance overall productivity.

Schedule




Monday & Tuesday- 7:30pm-4:00pm Wednesday, Thursday, Friday- 7:00am-3:30pm Please note training hours will be different than the above schedule

Experience




Previous experience as a receptionist or in a sales role is preferred. Familiarity with physiotherapy or medical office environments is a plus. Strong organizational skills with the ability to multitask effectively in a busy setting. Proficiency in using phone systems and basic office equipment. Excellent communication skills, both verbal and written, to interact effectively with clients and team members.
