Detailed Overview:
Reporting to the Manager, Clinical Operations and in accordance with the mission, values and goals of Fraser Health, the Receptionist/Cashier provides secretarial and clerical support including reception, switchboard, admitting and cashier duties. In addition, the Receptionist/Cashier is responsible for the maintenance of resident trust accounts and site deliveries. Responsibilities:

  • Performs receptionist duties by operating a switchboard, receiving visitors, providing information and directing individuals to appropriate areas.
  • Operates the public address system and other paging systems and/or cell phones to locate doctors and other personnel and advise on other items such as deliveries for specific departments.
  • Maintains resident trust accounts by requesting and receiving deposits, processing charges and preparing client/resident trust account statements as required.
  • Monitors access/egress to the main entrance. Intervenes as appropriate and/or alerts security in order to protect the safety of client/residents and staff.
  • Performs cashier duties related to clients\'/residents\' trust accounts. Balances, reconciles, verifies and records cash, cheques and receipts. Maintains and balances petty cash and makes disbursements as required.
  • Prepares and types material such as reports, minutes, letters and forms.
  • Composes and signs correspondence such as confirmation of appointments and form letters as directed or drafts correspondence for review and signature.
  • Completes statistical reporting and maintenance of records and distributes reports as per established procedures, including resident cable service listing.
  • Sets up and maintains manual and electronic filing systems, databases and records for a variety of materials. Tracks information and prepares summary reports as required.
  • Arranges meetings as directed, books meeting rooms, types and circulates notices and agenda. Records, transcribes and distributes notes or minutes of meetings.
  • Maintains appointment calendars by arranging and confirming appointments.
  • Maintains stationary and supplies levels by monitoring stock, preparing stores requisitions and restocking supplies when delivered. Assists in receiving function by accepting delivery of medical supplies, equipment and repairs.
  • Matches documents such as invoices, receiving reports, packing slips with purchase orders; maintains files of invoices, purchase orders and receiving documents; contacts appropriate sources such as stores and external suppliers by telephone and/or correspondence regarding matters such as disputed supplier accounts, missing invoices and unmatched documents; refers problems to supervisor.

  • Performs other related duties as assigned.
Qualifications:
Education and Experience
Grade 12 and three years\' recent, related experience or an equivalent combination of education, training, and experience.


Skills and Abilities
  • Ability to keyboard at 45 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to operate related equipment.
  • Ability to organize work.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
