The Opportunity
We are seeking a friendly, organized Receptionist/Assistant to join our team. This position is a hybrid role that combines front desk responsibilities with basic animal handling and support. You'll be the first point of contact for our clients, helping them feel welcome and cared for while keeping our clinic running smoothly.
This position includes rotational coverage of reception duties when needed, such as confirming appointments and managing client flow.
What You'll Do
Perform the opening and closing procedures of the clinic.
Greet clients in person and by phone in an upbeat, courteous, and professional manner.
Direct client inquiries to the appropriate person quickly and efficiently.
Record patient weights and accurately note the client's questions/concerns regarding the animal.
Ensure, verify, and update client contact information (name, address, phone/email).
Admit surgeries, drop-offs, and medical cases; ensure all documentation is complete.
Keep client flow efficient by preparing and delivering files to exam rooms.
Notify the veterinarian/technologist when clients are ready in exam rooms.
Book, confirm, and reschedule appointments; send email reminders two (2) days prior and call to confirm next-day appointments.
Support clients with empathy during difficult situations (e.g., illness, euthanasia, pet loss).
Process payments and adhere to clinic billing policies, which may include bill preparation and client account collection.
Perform day-end close-out procedures.
Maintain a clean and organized work area, including the waiting room.
Provide administrative support, including sending and receiving mail, data entry, filing, faxing, photocopying, and other general office duties.
Maintain basic knowledge of clinic products (food, retail items, supplies) and services provided at the clinic.
Assist with ordering, receiving, and stocking inventory and supplies.
Follow clinic policies and procedures; promote a healthy and safe workplace.
Always represent the clinic positively and perform other duties as required.

Secondary School

Experience:
Minimum 1 year of previous office/reception experience
(preferred)
Skills
Excellent communication, interpersonal, and problem-solving skills.
Comfortable working in a team environment with minimal supervision.
Proficient in Microsoft Office.
Strong attention to detail, accuracy in data entry, and professional phone etiquette.
Physically able to walk, stand, bend, lift (up to 22 kg / 50 lb), and assist with safe animal restraint.
