Type:Part-time, Permanent position

Hours:Monday to Friday, 9:00 am to 3:30 pm, flexibility required

Salary:$21.00-$27.00/per hour

Position Summary:

Reporting to the Assistant Vice President, Administration & Corporate Services, this individual will provide confidential Reception and administrative support to members of the Senior Leadership Team, as well as those in Director-level roles. The role requires this individual to apply the highest level of confidentiality and recognize the level of confidentiality necessary for various types of information. In order to assist the Teams in the provision of administrative activities, a broad skill set is required to produce efficient, effective outcomes in planning, communicating, organization and resources management..

Role Responsibilities:

  • Consistently demonstrates organizational values \xe2\x80\x93 Respect, Compassion Commitment, Ethics and Service.
  • Attend meetings with Senior Leadership Team (SLT) and ensure accurate minutes are taken and distributed to all relevant parties in a timely manner. Develops agendas and tracks items.
  • Coordinate and arrange meetings as requested by members of the SLT.
  • Manages and maintains efficient file system and/or databases as required.
  • Assists with the communications and marketing strategies of the Organization as directed.
  • Perform all duties in a professional manner, showing insight, leadership skills and educational support to respective staff and colleagues across the organization.
  • Provide support and assistance in the filing of documentation related to employee files and other Corporate Office documents, inclusive of contracts, SLT correspondence, accounting, etc.
  • First point of contact and liaison between Employer and Educational Institutions for Student Practicum placements within our Care Homes.
  • Assist with coordinating, communicating and managing aspects of Intercare\xe2\x80\x99s special events including corporate functions and meetings.
  • Provide administrative support, as may be requested, to corporate senior leaders in the preparation and circulation of new and/or revising of existing company-approved forms, as required.
  • Act as initial Corporate Office contact by supporting inquires at the Corporate Reception
  • Prepare with new employee orientation, including preparation of new hire packages for orientation, employee name tags and other training information.
  • Prepare reports and communications related to internal job postings.
  • Entering new hires into and remove former employees from Employee Recognition Platform
  • Provide support to the Corporate Team on an as required basis.
  • Assist with Intercare Website upkeep and monitoring.
  • Assist with Welcome Package documentation updating/formatting and packaging for sites, as required.
  • Assist with the communication and marketing strategies of the organization, as required, including publications and communications, posters, brochures, newsletters, handbooks, PowerPoint presentations and banners.
  • Provide administrative support on on-going ad-hoc projects, reports, presentations, data entry, communications and document creation to all corporate team members.
  • Complete and assist with surveys as required, collecting and recording response data.
  • Perform all duties in a safe and efficient manner and maintains work are in a clean, orderly and safe condition.
  • Other duties as assigned.
Qualifications/Skills/Job Requirements:
  • Two-year Post-Secondary Certificate/Diploma with Business focus; or equivalent preferred.
  • Excellent computer skills, intermediate to advanced skill with MS Applications (Access, Word, Excel, Desktop publishing, PowerPoint, Survey Monkey set up and data management, familiarity with graphics design, e-mail, familiarity with website upkeep and postings .)
  • 2 \xe2\x80\x93 4 years\xe2\x80\x99 experience as an Administrative Assistant in healthcare field or equivalent.
  • Ability to multi-task, understand/ manage/ respond to varying priorities and use time management skills in order to meet short deadlines.
  • Excellent communication skills (verbal, non-verbal and written).
  • Detail-oriented, a fast learner, and ability to handle multiple tasks.
  • Demonstrates strong organizational and interpersonal skills to work effectively with a wide variety of internal and external resources.
  • Maintains a high level of professionalism and confidentiality.
  • Ability to work independently and to work effectively as a member of a team.
