DEFINITION:



This role is responsible for all daily reception duties and greeting clients who may attend the Abbey Platinum Master Built office. The position reports primarily on a daily level to the CFO and accepts additional duties assigned by the Vice President. Primary responsibilities of the receptionist consist of managing and monitoring the front desk, reception area, and phones. Administrative duties include filing, emailing, mailing out documents, creating forms and labels, working on spreadsheets, researching information, data entry, etc.

The individual in this role is expected to become knowledgeable of internal policies and procedures.

RESPONSIBILIES:



Receptionist



Greet all visitors in a prompt, professional manner. Respond to general inquiries. Answer, screen, and forward telephone calls in a professional manner. Accept and send courier deliveries accordingly. Maintain an adequate stock of supplies. Place orders as required for all staff with approval from the CFO. Maintain and monitor the company keys and fobs. Obtain signatures for keys that are signed out and remind people when keys need to be returned. Responsible for performing the opening and closing of the office to visitors, daily. Stock washrooms and printers weekly. Maintain an accurate reception manual. Keep current records of employee computer passwords and staff fuel cards. Collect and distribute daily mail Other administrative & support duties as assigned by the CFO.

Accounts Payable



Receive and post invoices into the payables system Daily posting of bills/invoices to the Abbey Platinum Master Built accounts payable system. Reconciling vendor statements for Abbey Platinum Master Built. Prepare cheques for Abbey Platinum Master Built. Ensure cheque distribution is performed bi-monthly, in person and via mail. Answering any payables inquiries that arise from customers, vendors, trades or internally.

Qualifications



o 1 year of experience in clerical, administrative, or accounting roles.

o Proficiency in Microsoft Office (especially Excel and Word).

o Strong organizational and multitasking abilities. o Excellent communication skills (both verbal and written). o Attention to detail and accuracy, especially in handling invoices and financial data.

o Personal Attributes: o Ability to maintain confidentiality. o Good customer service skills as the receptionist role often requires interaction with clients, vendors, and internal staff. o A positive and professional demeanor.

Hours of work are 8:00 am to 5:00 pm, Monday to Friday. The office is closed for lunch between 12:00 pm to 1:00 pm

Job Type: Full-time

Pay: $18.00-$20.00 per hour
