We currently have an opening for a polished, skilled Receptionist for our highly regarded client. In this role, you will greet visitors, handle incoming calls and perform general administrative duties. Proficient Receptionists will also assist with other administrative duties and staff with overflow work, which may include but is not limited to mail distribution, filing, data entry, and potential research tasks.Receptionists with 1 or more years of experience managing multi-line phone systems (15+ lines) looking for new opportunities should apply today. This Receptionist position is a great opportunity for applicants looking for long-term contract to hire employment in the Toronto, Ontario area.Key responsibilities of Receptionist:- Turn on lights in lower-level lunch area and main floor common area.
- Empty dishwasher on main level and ensure mugs are fully replenished for visitors.
- Ensure coffee pods/beans/tea are stocked on the main level reception area.
- Ensure the fridge is stocked with water on the main level reception area.
- Turn off the TV display in the main lobby. Measurable: Ensure all closing duties are completed before departing.
- Manage front desk, addressing staff and visitor inquiries promptly.
- Answer the door and text to notify staff of their visitors.
- Send Couriers for all (using company negotiated 50% off Discount) and manage payments on account.
- Pick up mail, date stamp, and distribute to tenants.
- Report any building issues that need to be addressed with the landlord.
- Deactivate FOBS for any staff being off-boarded.
- Check and address inquiries received via email or Teams, responding within 24 hours of the request and confirming verbal requests with a confirming email.
- Liaison with IT to troubleshoot WIFI issues.
- Assist with corporate travel.
- Receive packages.
- Maintain inventory of company laptops and accessories.
- Set up for new company employees. Measurable: Respond to all inquiries within 24 hours and maintain accurate inventory records.
- Request FOBS for new tenants/employees from the landlord. Measurable: Ensure all weekly tasks are completed by the end of each Friday.
- Check fire extinguishers (1st of each month - detailed procedure will be provided).
- Check first aid kits (1st of each month - detailed procedure will be provided)- Previous experience in office administration or related field preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to prioritize tasks and manage time effectively.
- Familiarity with basic office equipment and software applications.
- Knowledge of health and safety regulations and procedures.
- Ability to adapt to changing priorities and work independently.
- Flexibility to handle emergency situations and ad hoc requests.
- Commitment to providing exceptional customer service to all stakeholders.
- Ability to lift 25 pounds and complete some physically demanding tasks.
