Job Description

We are looking for a skilled and detail-oriented Receptionist to join our team in St. Catharines, Ontario. As the first point of contact for our corporate office, you will play a vital role in providing exceptional service and ensuring a welcoming environment for guests and callers. This is a long-term contract position ideal for someone who thrives in a dynamic, fast-paced setting.
Responsibilities:

  • Greet and assist visitors, ensuring a warm and welcoming atmosphere while managing visitor registration and issuing security access passes.
  • Answer and manage incoming calls on a multi-line phone system, providing guidance and support to callers during extended switchboard hours.
  • Handle member concerns by collecting details and forwarding them to the appropriate management team.
  • Provide administrative support to operations, including organizing files, scheduling appointments, and managing correspondence.
  • Maintain security protocols by monitoring electronic logbooks, issuing badges, and managing security access cards.
  • Process invoices by reviewing, coding, and submitting vendor invoices for manager approval.
  • Support the development and improvement of office processes to enhance efficiency.
  • Ensure accuracy and attention to detail in all tasks, including data entry and document management.
  • Collaborate effectively with team members and external contacts to meet organizational objectives.
  • Utilize tools such as Microsoft Excel, Word, and Outlook to complete daily tasks and maintain records.
  • Minimum of two years of experience in a receptionist or administrative role.
  • Proficiency in managing multi-line phone systems and providing excellent customer service.
  • Strong organizational skills with the ability to prioritize and handle multiple tasks effectively.
  • Experience with data entry and invoice processing, including familiarity with NetSuite or similar systems.
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
  • Excellent interpersonal and communication skills to interact with internal and external stakeholders.
  • Ability to work independently and maintain a high level of accuracy and attention to detail.
  • Proven ability to streamline and improve processes for operational efficiency.
