We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with office management systems such as QuickBooks, Microsoft Office, and Google Workspace is highly desirable. Bilingual abilities are a plus to assist a diverse client base. The Receptionist will play a vital role in maintaining smooth office operations and ensuring a welcoming atmosphere.
Duties
Greet visitors and clients in a courteous and professional manner at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and manage calendar appointments for staff or medical professionals
Perform data entry, filing, and maintain accurate records using various software tools
Handle incoming and outgoing correspondence, including emails and mail distribution
Assist with office management tasks such as supply inventory and organization of office space
Support administrative functions including proofreading documents, managing calendars, and supporting bookkeeping activities using QuickBooks or similar software
Provide excellent customer service by addressing inquiries promptly and professionally
Maintain a clean and organized reception area to ensure a positive first impression
Qualifications
Proven experience in an office environment or as a receptionist; clerical or administrative experience preferred
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Familiarity with multi-line phone systems, calendar management, and office management software such as QuickBooks is preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Bilingual abilities are highly desirable to communicate with diverse clients or patients
Exceptional phone etiquette, customer support skills, and professional appearance
Ability to handle confidential information discreetly
Strong typing skills with attention to detail for proofreading and data accuracy
Experience in medical or dental receptionist roles is advantageous but not required
Personal assistant experience or experience managing schedules is a plus
