General Description
The Receptionist, reporting to the Human Resources Manager or a designated delegate, plays a vital role in supporting the daily operations of Tano T'enneh Enterprises by offering excellent front-line service to community members, staff, and visitors. As the first point of contact, the Receptionist ensures a welcoming, respectful, and professional environment, while providing administrative and clerical support to help the organization operate efficiently and effectively.
Key Roles, Responsibilities & Duties
Warmly greet and welcome guests upon arrival.
Provide clerical support including filing, photocopying, faxing, and transcribing with attention to detail.
Direct visitors to the appropriate individuals, offices, or departments.
Answer, screen, and forward incoming calls in a professional manner.
Maintain a clean, organized, and presentable reception area, ensuring availability of stationery, forms, and brochures.
Receive, sort, and distribute daily mail, packages, and deliveries.
Maintain office security by following safety procedures, monitoring access, and managing the sign-in book.
Manage meeting room bookings, update calendars, and assist with scheduling.
Track office supply inventory, place orders when needed, and keep accurate records.
Coordinate travel and accommodation arrangements as needed.
Oversee catering requests and support departmental event arrangements.
Oversee the ordering and inventory of coffee supplies and office groceries to support smooth daily office operations.
Follow established administrative procedures and directives from senior management.
Assist in general administrative tasks and perform other duties as assigned.
Job Requirements
Grade 12 high school diploma or equivalent required.
Strong computer skills, including proficiency in MS Office, internet research, and email.
Strong organizational abilities and high attention to detail.
Experience using office equipment (phones, printers, photocopiers).
Ability to multitask, prioritize, and manage competing deadlines.
Professional demeanor and ability to maintain strict confidentiality.
Excellent verbal and written communication skills.
Knowledge of the Lheidli T'enneh community, culture, and language is an asset.
Ability to work effectively in a team environment and independently with minimal supervision.
Willingness to work variable hours, including evenings or weekends when required.
Valid BC Driver's License.
Successful completion of a Criminal Record Check and Vulnerable Sector Check.
