Job Description


As the first university-based common law school in the nation, the Schulich School of Law offers a unique and enlightened approach to legal education. Reporting to the reports to the Manager, Finance & Administration, the Receptionist / Office Assistant will provide a wide range of administrative supports to the School as a whole as well as to the Career Development Office (CDO) in particular.
Key Responsibilities

  • Serve as first point of contact and reception for the Schulich School of Law, assisting and advising students, faculty and the general public via phone, email and in person contact. Handle building maintenance and key requests. Arrange courier pick-ups and prepare monthly invoices.
  • Support the Career Development Office including coordinating high volumes of appointments; posting jobs on the Schulich Law careers platform; supporting event logistics; and coordinating the application process for internship and research assistant programs.
  • Complete financial support tasks for the CDO such as preparing travel advances and travel expense claims; purchasing attendance for conferences, career fairs, etc. and reconciling statements. Serve as backup and support for the CDO Administrative Coordinator.
  • Assist the Dean\'s Office and other administrative staff. Prepare payroll documentation, assist with website updates, review and approve room booking requests.
  • Provide administrative services for approximately four faculty members. Format and prepare a wide range of documentation, schedule appointments, coordinate event logistics, process expense reimbursement claims, maintain manual and computerized files.
NoteDue to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/Office Administrative Diploma plus approximately three to five years\' related work experience (or equivalent combination of training and experience).
  • Excellent interpersonal and communication (verbal and written skills with the proven ability to work well as part of a team.
  • Demonstrated ability to multi-task in a busy working environment including strong attention to detail, initiative and organizational skills.
  • Proficiency in Microsoft 365 suite (Word, Excel, PowerPoint, Access, Teams, OneDrive, Forms, etc.).
  • Familiarity with website management and A/V equipment.

  • Experience working in a client-oriented environment and event planning and organization.
