The Receptionist welcomes visitors to Rodeo FX and ensures that calls are received and transferred. This person also handles other administrative tasks for the facilities team such as travel arrangements, managing certain functions such as security cards and codes, and liaising with the cleaning team.

Main responsibilities:

  • Greet clients, and visitors and redirect them to the desired person (in person and on the phone);
  • Coordinate any out-of-town travel for employees with RodeoFX\'s travel agency;
  • Provide administrative support to the operations and executive team;
  • Manage the cell phone plan, including reviewing invoices and communicating with the vendor for any changes;
  • Administer access cards and security codes, including preparing cards and codes for new employees and making changes (departures, access changes, etc.);
  • Prepare meetings with clients or for the production team (food, drinks, necessary documents, etc.);
  • Maintain a current list of key suppliers and service providers.
  • Follow-up with cleaning staff to ensure quality service;
  • Review and dispatch requests from the facilities team;
  • Order office supplies and food;
  • Provide support for special events (5 @ 7, end of project, employee activities, etc.) ;
  • Produce and update various reports;
  • Write, update, translate, scan and file various documents;
  • Participate in specific projects with the facilities team.
Qualifications
  • Experience in customer service or a similar position;
  • Good knowledge of Microsoft Office and Google Suite;
  • Professionalism, discretion, organization and courteousness.
