At Mad Bodies, we are dedicated to providing a welcoming environment for our patients. Our team of registered massage therapists (3) and kinesiologists (1) deliver personalized, high-active-based treatments, and we rely on our front desk team to create a seamless experience from start to finish.
The Receptionist serves as the first point of contact for patients. This role is essential in creating a warm, professional, and organized environment. You will handle scheduling, patient inquiries, payment processing, and provide administrative support to practitioners.
Key Responsibilities:
Greet patients warmly and ensure they feel welcome and relaxed
Manage appointment scheduling via phone, email, and booking (Jane) software
Confirm appointments and follow up with patients as needed
Handle patient check-in and check-out processes efficiently
Process payments, direct bill to patient's extended insurance and issue receipts
Maintain a clean and organized front desk and waiting area
Respond to patient inquiries about services, practitioners, pricing, and policies
Support practitioners with administrative tasks (e.g., printing forms, managing supplies)
Help manage inventory of products and clinic supplies
Perform light cleaning & laundry duties as needed
Qualifications:
Healthcare students (RMT, KIN, etc.) encouraged to apply
High school diploma or equivalent
Previous receptionist, front desk, or customer service experience (preferred)
Ability to resolve potential conflict with patients
Strong communication and interpersonal skills
Professional, friendly, and calm demeanour
Comfortable using scheduling (Jane) and point-of-sale software (Square) or willingness to learn
Excellent organizational skills and attention to detail
Ability to multitask in a fast-paced environment
Interest in active rehabilitation is a plus
Work Hours:
Mondays 9am - 4pm
Shift coverage available as needed
Job Type: Part-time
