We are currently seeking a warm, organized, and professional Receptionist to be the first point of contact for our clients, staff, and visitors. This role is vital in maintaining the welcoming atmosphere and smooth operation of our office.
Position Summary
The Receptionist provides front-desk support and administrative assistance to ensure efficient day-to-day operations of the clinic. The ideal candidate is friendly, empathetic, and highly organized, with excellent communication skills and a strong understanding of client confidentiality and trauma-informed care in a counselling setting. This position requires flexibility, attention to detail, a genuine love for people, and the ability to work well in a team with the ability to support multiple counselling programs, including group therapy, individual counselling, youth services, and outreach initiatives.
Key Responsibilities
Greet clients and visitors in a warm, respectful, and professional manner, assist with check-ins and payments, and ensure they feel comfortable
Answer incoming calls, respond to emails, and direct inquiries to appropriate staff or programs
Schedule, confirm, and manage appointments, coordinate patient flow and manage provider schedules using a booking system across various counselling programs
Maintain a tidy and welcoming reception area and keep workspaces clean, organized, and well-stocked
Support client check-in and intake processes, ensuring appropriate routing to the correct program or counsellor
Maintain patient records, manage referrals, update waitlists
Work closely with other team members to support clinic operations
Ensure strict confidentiality of client information, in line with privacy laws and agency policies
Qualifications
High school diploma or equivalent (post-secondary education in administration or a related field is an asset)
Previous experience in a receptionist, administrative, or client-facing role
Strong interpersonal and communication skills
Demonstrated ability to work with empathy, professionalism, and discretion
Comfortable interacting with individuals in distress and from diverse backgrounds
Proficiency with Microsoft Office, email systems, and appointment booking software. Knowledge of Jane App software is great but not required
Experience working in a counselling, mental health, or non-profit setting is an asset
Understanding of confidentiality, privacy legislation, and ethical boundaries in a counselling environment
Ability to manage multiple priorities and adapt to different program needs
Working Conditions
Position is based in an office setting
May involve occasional evening shifts or extended hours depending on program needs
Requires sitting for extended periods and occasional light lifting (e.g. office supplies)
